The role will be responsible for managing maintenance contracts loaded into e-Quip and ensuring key KPI targets are met. It supports the Head of Medical Engineering with asset management of all medical devices maintained by external providers within the Trust, maintaining high standards of record keeping, timely contract renewals, overseeing booking processes for preventive maintenance, and logging all relevant contract and service information in the Trust's Medical Devices Database (eQuip). The post holder will engage with Healthcare Partners procurement and finance teams, as well as external contractors.
Main duties of the job:
- Oversee and manage service contracts for medical equipment using the e-Quip system.
- Monitor contract costs, ensure value for money, and identify cost-saving opportunities.
- Track contract performance against SLAs and escalate issues of non-compliance.
- Ensure financial accuracy in invoicing, purchase orders, and budgets related to equipment maintenance in e-Quip.
- Coordinate with external service providers for scheduled preventive maintenance.
- Liaise with Procurement and Finance teams regarding contract renewals and new agreements.
- Define maintenance schedules for equipment in accordance with MHRA guidelines.

Qualifications:
- Proven experience in an administrative role, preferably in a fast-paced environment.
- Ability to manage multiple priorities efficiently.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office applications.
- Experience with NHS EME or similar environments.
- Experience working in patient care settings.
- Strong leadership and customer service skills.
Person Specification:
- Educated to A Level including GCSE English and Maths or equivalent.
- Qualification in Compliance or Quality Assurance.
Knowledge and Experience:
- Extensive experience with MS 365, including SharePoint, PowerApps, Power BI, and databases.
- Knowledge of quality and clinical assurance, and internal auditing.
- Experience in NHS equipment management and supply chain processes.
This role requires a DBS check due to the nature of the work. Salary range: £31,469 to £36,483 per annum, excluding HCAS.
