The role of a Document Information and Control Manager
You’ll lead a small team of technicians and administrators and take ownership of integrating and managing all project-related documented information. This is your opportunity to implement and improve our systems and processes, ensuring regulatory compliance and supporting informed decision-making across the business.
Key Responsibilities
- Lead and manage a team responsible for document control across projects.
- Develop, implement, and maintain robust structures and processes for information management.
- Ensure secure, efficient access and storage of documents for all users, with the correct permissions.
- Train and support both internal and contractor teams in document control systems.
- Oversee auditing and quality assurance of document control processes from start to handover.
- Manage policies and guidance relating to document management and storage.
- Ensure project documentation is stored correctly within department archives.
- Collaborate closely with our Technology and Transformation teams to align with data governance policies.
- Validate and integrate both digital and paper archives into central repositories.
- Maintain and apply a consistent document referencing policy.
- Manage review and approval workflows, including change control.
- Continuously seek opportunities to improve and automate document management practices.
About You
We’re looking for someone with a methodical mindset and a keen eye for detail, who enjoys improving systems and enabling others to do their best work. You'll bring strong leadership skills and a proven track record of managing document control in complex project environments.
Essential Skills and Experience
- Proficient in MS Office and SharePoint (including Site Administration).
- Demonstrated experience in document repository administration in a similar role.
- Familiarity with ISO 9001, ISO 55000, and other regulatory frameworks.
- Understanding of Building Information Modelling (BIM) principles.
- Experience managing document and asset taxonomy term stores.
- Excellent communication, coordination, and organisational skills.
- Able to manage competing priorities and work independently to tight deadlines.
