Florida State University has a rich history as a global institution, offering programs abroad since 1957. FSU International Programs administers four year-round campuses/sites in the Republic of Panama, Italy, Spain, and the United Kingdom, as well as numerous faculty-led programs in other locations.

Established in 1971, FSU London owns its current facility, which is comprised of eight 18th Century row houses in the heart of Bloomsbury. FSU London typically hosts approximately 700 students each year.

Florida State University London is seeking candidates for the position of full-time Student Program Coordinator. This is a varied role across multiple areas of responsibility in a friendly and busy office. The successful candidate will be highly organised and capable of dealing with many ongoing issues whilst working to deadlines. The post holder will form an integral part of the administrative team through assisting in the day-to-day management of UKVI compliance, the FSU London internship program, and human resources/health & safety administration. The Student Program Coordinator will work collaboratively with all FSU London staff to support the university’s educational mission.

This is an exciting opportunity for someone who would like to develop or further a career in international education and university administration. Key areas of activity will include:

  • UKVI Compliance
    • Assisting management with maintaining the UKVI sponsorship license
    • Preparing and issuing CAS data to student applicants with a high level of attention to detail
    • Maintaining required records of all sponsored students in line with UKVI guidelines, ready for a compliance audit
    • Assistance with providing guidance to students regarding their visa responsibilities
    • Attending UKVI trainings, webinars, etc. to stay abreast of everchanging regulations and guidance
  • Internship Program
    • Assist management with all aspects of the year-round FSU London Internship Program
    • Source and develop relationships with host companies
    • Communicating with external organizations in a professional manner
    • Match students with appropriate work placement opportunities
  • Programme Planning
    • Coordinate with colleagues on main campus and faculty to plan academic and social/cultural excursions for customised focussed programmes
    • Work to a budget
    • Utilise knowledge of London to offer suggestions and coordinate excursions
  • Human Resources
    • Assist senior management with data in the charity’s human resources information system (HRIS), especially in relation to onboarding new staff
    • Assist with pre-employment checks for new starters
    • HR file record-keeping
    • Assist with assignment of required HR and health & safety trainings through the HRIS
  • Other Duties
    • Assisting with events organised by FSU London
    • Assisting with student arrivals and departures
    • Supporting other members of the FSU London team

Qualities essential for this post:

  • Existing permanent legal right to work in the UK (required)
  • Educated to at least first-degree level (required)
  • High literacy and writing skills, close attention to detail
  • Ability to develop, with training, a comprehensive understanding of UKVI compliance requirements as related to Overseas Higher Education Institutions
  • Confident and outgoing personality with a positive, team-focussed attitude
  • Recognition of the importance of confidentiality
  • Excellent communication, time-management, organisational and presentation skills
  • IT skills – Microsoft Office Suite, ability to learn the Sponsorship Management System (SMS)
  • Ability to handle multiple assignments for varied programs concurrently
  • Sensitivity to cultural difference
  • Willingness to work flexible hours occasionally including evenings and weekends
  • Ability to work both collaboratively and independently, and the skillset to prioritise workloads

Desirable qualities:

  • International experience through study or work abroad
  • Knowledge of the North American university educational system
  • 2 years’ experience working in US study abroad or in higher education
  • Experience of working with senior management in an organisation or relevant training or qualifications in administrative support
  • Experience working with university level students
  • A good foundational knowledge of London

This position is a permanent contract.

Salary: £28,000 – 30,000 (commensurate with experience)

Hours of Work: 40 per week (typically between 8.30am–5.30pm)

Reporting to: Project Manager

Starting Date: Flexible, though likely summer

Location: The Student Program Coordinator will be based at FSU London in Bloomsbury. The position will require some travel through participation in student excursions around the UK and Europe.
