**Applicants must demonstrate prior Executive Assistant or Personal Assistant experience – ideally supporting senior executives from other start up companies***

About the Executive Assistant role:
Our client is seeking a tech-forward, highly organised, proactive, and motivated Executive Assistant to take ownership of the diary, travel and the CEO's day to day activities; to protect his time and deal with potential problems early on.

This is a pivotal role at the heart of the organisation. In this position, you'll keep operations running seamlessly, empower the leadership team to perform at their best, and help drive the company forward with pace and precision. Duties will include:

  • Intense, international calendar management; factoring in thinking time and personal life.
  • Complex travel coordination including flights, accommodation, transportation and check-ins; transfers and more.
  • Preparation of documents, presentations, and briefings for key meetings; take accurate minutes; track and follow up on action items.
  • Company expenses management, process invoices, and oversee other operational workflows.
  • Building strong working relationships across teams, acting as a key point of contact between the leadership and the wider business as well as externally; building reputation.
  • Lead and coordinate cross-functional projects, company off-sites, team events, and other high-priority initiatives.
  • Identify inefficiencies, implement scalable solutions, and introduce automation where possible.
  • Handle sensitive information with the utmost discretion and professionalism.
  • Other duties as required.

Required Skills & Experience:

  • Solid prior Executive Assistant or Personal Assistant experience – ideally supporting senior executives.
  • Ideal candidates have experience working in a high-growth startup, a boutique, tech-led financial services, or consulting.
  • Highly proficient with Google Workspace (Gmail, Calendar, Drive, Docs, Sheets) and Slack and various apps.
  • Exceptional time management, prioritisation and organisational skills.
  • Meticulous attention to detail with a bias for action and problem-solving and speed.
  • Excellent written and verbal communication skills.
  • Comfortable managing multiple priorities simultaneously while meeting deadlines.
  • Strong interpersonal skills and the ability to work collaboratively with diverse teams.
