We are on the lookout for an Operations Assistant to work alongside the team at Odd Muse. The ideal candidate will play a crucial role in supporting the imports and exports within Odd Muse London, helping us build and develop our operations team as we move further into the international market. You will work closely with our design and warehouse teams. Your primary responsibilities will include coordinating shipping activities, maintaining accurate records, and ensuring timely delivery of products. This role requires strong organizational skills, attention to detail, and the ability to work collaboratively.

Key Responsibilities:
  • Shipment Coordination: Coordinate with internal departments and external partners to ensure timely execution of operations. Organize and schedule shipments based on order priorities and delivery deadlines for pre-order dates and restocks. Collaborate with carriers, freight forwarders, and couriers to arrange transportation and track shipments in real-time. Maintain and update operations documentation, reports, and databases. Schedule meetings, track project deadlines, and support planning activities. Address and resolve any shipping-related issues or delays proactively.
  • Inventory Management: Monitor and manage inventory, procurement, and supply chain tasks. Conduct regular stock checks and collaborate with the warehouse team to reconcile discrepancies.
  • Documentation and Record Keeping: Maintain comprehensive and up-to-date records of shipments, including tracking information, delivery confirmations, and any relevant customs documentation. Prepare and submit shipping reports to management, summarising key performance indicators and identifying areas for improvement.
  • Compliance and Regulations: Stay informed about shipping regulations, customs requirements, and industry best practices. Ensure that all shipments comply with international and domestic shipping regulations.
  • Problem Resolution: Collaborate with various teams to resolve shipping-related issues, such as damaged goods, missing items, or delivery discrepancies.
  • Process Improvement: Identify opportunities for process improvement and efficiency in shipping operations. Work with the team to implement changes and enhancements to optimize the shipping process.
Qualifications/Experience:
  • Experience in logistics or supply chain management is a plus.
  • Strong computer skills, including proficiency in shipping software and Microsoft Office applications.
  • Excellent organizational, communication, and problem-solving skills.
  • Ability to work in a fast-paced environment and handle multiple priorities simultaneously.
  • Knowledge of shipping regulations, customs procedures, and transportation logistics.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
