My client, which is part of a family-owned client-side business, is looking to add to their team. They manage a nationwide portfolio of over 200 properties totalling around 7.5 million sq.ft. and comprising all commercial asset classes. This role is tailored towards Offices and is based at my client’s head office in London. The successful candidate will sit at Associate Director/Senior Associate level.
You’ll be primarily responsible for managing a portfolio of multi-let office buildings in Central London. The ideal candidate will have the experience and confidence to manage these instructions independently, taking full ownership of day-to-day property management, service delivery, and client relationships.
The team is overseen by a director who will provide guidance and support as needed, with additional support from graduates and a Property Administrator within the wider team.
MAIN DUTIES:- Ensure the effective and efficient management of all properties within the portfolio, aiming to maximise value, minimise voids, and meet client objectives.
- Take full responsibility for all aspects of a designated portfolio of commercial properties.
- Regularly review team workloads to maintain balance and efficiency.
- Ensure all lease events are addressed in a timely and proactive manner.
- Provide support and mentorship to junior colleagues, helping them gain experience and work towards professional qualifications.
- Collaborate with other Associate Directors to drive initiatives that enhance value for the business, clients, and wider stakeholders.
- Prepare ad hoc and formal reports for both internal stakeholders and external clients as needed.
- Consistently apply company policies and procedures to the required standards.
- Review and propose updates to existing policies to ensure alignment with industry best practices, including implementation plans.
- Work closely with the facilities management team to oversee maintenance activities, including daily, contracted, and cyclical work.
- Lead the project management of internal and external works in collaboration with surveyors or appointed consultants.
- Take ownership of rent and service charge collection processes.
- Monitor and manage service charge expenditures against budget throughout the financial year.
- Conduct regular site inspections to ensure high standards of upkeep and complete remote inspection reports.
- Communicate proactively with colleagues and build strong relationships with tenants, clients, and stakeholders.
- Oversee the timely and accurate processing of insurance claims.
- Develop and implement effective communication processes to keep tenants informed of relevant management matters.
- Maintain a strong understanding of the Landlord and Tenant Act and relevant lease obligations or restrictions.
- Ensure fees are raised where appropriate for services outside the scope of the management contract.
- Work independently with minimal supervision, depending on your level of experience.
- Make informed decisions in managing your portfolio.
- Provide effective leadership and direction to colleagues to ensure successful outcomes.
- Encourage and actively support the personal and professional development of team members, particularly those under your direct supervision.
- MRICS qualified or a minimum of 8 years' experience in commercial property management
- Proven ability to engage with a range of stakeholders, including clients, professional teams, lenders, and investors
- Strong understanding of commercial leases and service charge structures
- Experience dealing with clients, occupiers, consultants, and local authorities
- In-depth knowledge of current Health & Safety regulations
- Solid understanding of building operations, maintenance, and service delivery
- Full, clean UK driving licence
- Excellent verbal and written communication skills
- Strong numerical ability and proficiency in Microsoft Office (Excel, Word, Outlook)
- Comfortable working independently or collaboratively within a team
- Highly organised with strong administrative capabilities
- Proactive and confident in taking initiative and ownership
- Able to perform effectively under pressure
