Affinity Fire Engineering is a specialised fire safety consultancy firm servicing a diverse range of clients and sectors throughout the UK and Ireland. Our growing team is looking for a new addition to join our admin team. An experienced Contracts Manager is required to take the lead with ensuring contracts between ourselves and our clients meet the requirements of all parties concerned, with a particular focus on the legal advice of our insurers. This role is based in our Cheltenham office. We offer a hybrid working policy with an expectation to attend the Cheltenham office twice per week, so that must be a commutable distance for applicants.

RESPONSIBILITIES:

  • Review deed of appointments and collateral warranties and carefully amend the wording in line with advice from our external insurers.
  • Liaise with clients and senior management to negotiate amendments until a reasonable final position is reached.
  • Coordinate with project leader in order to thoroughly review agreed service scope and fees within each contract, guaranteeing transparency and alignment with project objectives.
  • Maintain a system to ensure the status of all contracts that can be identified clearly by senior management.
  • Print all contracts, distribute for execution and post/send to clients. Organise digital and hard copies of contracts in our files.
  • Liaise with Finance Department to ensure timely processing of invoices in accordance with contractual obligations.
  • Provide administrative support to Finance Director.
  • Serve as the primary point of contact for all legal communications with client, demonstrating professionalism and attention to detail in all interactions.
  • Ad-hoc assistance with project administration tasks.

THE IDEAL CANDIDATE:

  • Your key strengths will be communication and organisation. Both are essential to the success of these projects. You must be able to toe the line between assertive and professional.
  • You must possess a grade A*- B in GCSE English and Maths as both skills are important to ensuring the accuracy of contracts.
  • Hold either a full university degree or equivalent, or 3 grade B and above A-levels.
  • Will be comfortable working autonomously with little supervision.
  • You will have at least 2 years’ experience in a relevant role. This would make an excellent opportunity for an experienced paralegal looking for a step up into in-house legal services.
  • Experience in the construction industry is preferred but not essential.
