General Function
Working in our London office as a member of the Charter Management department. This department acts as the central agents for a prestigious fleet of large motor and sailing yachts ranging from 35m to approximately 100m. The department’s objective is to provide a comprehensive, efficient, and informed service to our yacht owners, charter brokers and to the captains of the managed yachts, while maximising on charter revenue opportunities.
The Role
Our charter management assistants are responsible for assisting the charter managers to generate revenue through the sales and design of luxury charters all over the world. The right candidate should understand the nature of working in a fast-paced sales environment and be highly motivated while being an active team player.
Duties
- Provide administrative assistance to your allocated Charter Manager/s and to the department.
- Assist with the management of department documents via SharePoint.
- CRM data entry and maintenance relating to yacht and contact records and with an emphasis on the timely logging of charter opportunities/enquiries for the yachts.
- Assist with the creation and editing of marketing materials for the Burgess charter central agency yachts, to include yacht presentations and industry updates using PPT/PDF.
- Upload/manage yacht images on VisualBank.
- Update details on Yachtfolio – the industry intranet system providing brokers with yacht details, brochures, crew profiles, yacht schedules/availability.
- Assist your Charter Manager/s with the processing of payments such as APA to yachts and VAT to fiscal agents in the Mediterranean and other locations.
- Prepare Charter Agreements for owner’s use of their yachts.
- Assist with event arrangements such as the Burgess central agency yachts attending charter shows and open days.
- Take minutes at departmental meetings.
- Arrange online meetings and book conference rooms for meetings.
- Book travel arrangements, flights, hotels, car hire etc.
- Collate and manage your Charter Manager/s company expenses.
- Assist with preparation of reports to owners.
- Assist with special projects as required.
- Share in general office duties and assist other departments within the company as may be requested or required, such as covering Reception on occasion, answering calls and assisting with postal and courier shipments.
Skills & Competencies
IT Skills
- The applicant should have a good knowledge of Microsoft Office programs, with a focus on Word, PowerPoint, Excel and Teams.
- Previous experience of CRM (Customer Relationship Management system) helpful but not essential.
- Adobe Acrobat to produce marketing materials and protect documents.
- DocuSign experience helpful but not essential.
- Excellent typing skills.
Creativity
- A creative flair is expected to produce yacht marketing materials.
Languages
- Fluency in written and spoken English.
- A basic knowledge of other languages such as French, Italian, or Spanish, would be an asset.
Other
- Excellent organisational skills to include the filing of emails/electronic documents.
- Excellent attention to detail. There is a huge emphasis to ensure all Burgess documents and marketing, in every format whether for internal or external use, is produced to exacting standards. We have our own Golden Rules for correspondence and presentation!
- Competence with numeracy.
- Good communicator and ability to build friendly and professional relationships with our business associates and yacht crew.
- Ability to prioritise and complete tasks on deadline.

- Nautical experience and/or knowledge of marine/yachting terminology helpful but not essential.
