Final Pixel is a next-generation creative innovation agency, redefining Virtual Production for advertising, television, and film. We specialise in real-time filmmaking, crafting high-end content for global brands and commissioners. As we embark on new projects, we’re looking for an organised and proactive Production Coordinator to support our Executive Producer and Producer with the day-to-day logistics and administration of production. This role is critical in ensuring smooth operations across production paperwork, compliance, and coordination while also assisting with ad hoc tasks across the wider production team. As Production Coordinator, you will be the backbone of production logistics, handling paperwork, organising production details, and ensuring smooth communication between departments. This is an exciting opportunity to be part of a fast-moving, innovative production environment, working on high-profile projects while gaining valuable hands-on experience in Virtual Production and filmmaking.

Key Responsibilities

  • Production Management & Logistics
  • Manage detailed production schedules and coordinate daily logistics including call times, call sheets, and production paperwork.
  • Support Production Manager with communication between cast, crew, vendors, and management.
  • Coordinate travel and accommodation for cast, crew, and team members.
  • Research and source venues, studios, LED suppliers, and equipment vendors for productions.
  • Prepare production materials, distribute NDAs, and manage critical documentation.
  • Support production meetings by scheduling and taking detailed minutes.
  • Administrative & Compliance
    • Manage industry documentation for WDGA, DGA, BECTU, BFI, and other relevant unions/guilds.
    • Maintain comprehensive production files with proper labeling.
    • Prepare and distribute production reports and catalog assets and documentation.
    • Handle day-to-day administrative tasks supporting production.
    • Prepare materials for client and internal meetings.
  • Marketing & Events
    • Draft content for press releases, panel introductions, and marketing materials.
    • Write and gather information for award submissions and manage application deadlines.
    • Support marketing campaigns and coordinate promotional materials.
    • Assist in planning team socials, offsites and internal events.
    • Attend industry events to provide support, network and represent Final Pixel where additional support is required.
    • Source venues and coordinate event extras such as gift bags and presentation materials.
