Purpose of the role
To action the fulfilment and return of wholesale orders for Phoebe Philo: including their allocation, shipment release, coordinating packing, delivery and invoicing. One of the key points of contact for logistics issues from wholesale customers, our internal wholesale and finance sales team as well as our from external warehouse team.
Responsibilities
- Work closely with our Wholesale Sales team to review and validate wholesale orders received from Joor to our ERP.
- Allocate inventory to wholesale orders in the ERP.
- Release wholesale orders from the ERP to the warehouse management system and inform our European 3PL warehouse team.
- Work closely with the Logistics Operations Manager to monitor warehouse and carrier KPIs regarding the processing of outbound wholesale shipments, as well as returned wholesale orders.
- Create shipping documentation (including packing lists and commercial invoices) relating to wholesale orders and distribute to wholesale customers.
- Arrange transport for the delivery of shipments to wholesale customers, as well as for the returning of agreed stock.
- Support with the resolution of delivery and customs import queries.
- Book deliveries with wholesale customers.
- Invoice wholesale orders and work collaboratively with our internal Finance team to resolve wholesale invoice queries.
- Create sales credits in our ERP for stock returning from wholesale customers.
- Validate invoices received from transport partners relating to the shipment of wholesale deliveries.
- Fulfil the delivery of retail packaging to wholesale customers, such as branded shopper bags and hangers.
- Maintain the schedule of wholesale logistics activities to ensure shipments are delivered on time to our wholesale customers.
- Run and distribute our daily wholesale fulfilment reports.
- Maintain up-to-date wholesale customer information in our ERP.
- Supporting to cover ecommerce and retail logistics activities when required.
- Supporting the department and management with any administrative and adhoc requests.
Qualifications, Skills, Experience Required
- Experience within the luxury fashion industry ideal.
- 1-2 years Logistics experience preferable.
- Customer service experience beneficial.
- Understanding of Incoterms.
- Basic knowledge of import procedures.
- Basic knowledge of Microsoft Outlook & Excel.
- Strong written and verbal communication skills and an ability to work across internal and external stakeholders.
- Strong organisational skills.
- Excellence in working under pressure and delivering on multiple priorities.
- Strong initiative: taking ownership of tasks and follow-through.
- Passionate about work with a โcan-doโ attitude.
- Flexibility to travel to a European warehouse up to four times a year.
- Italian language is a plus.
