An opportunity has arisen for a highly organised and professional confident individual with experience in HR Administration to join the HR department at MDCV UK. To act as a representative of the HR function in delivering an excellent service in all the basics of people related administration.
To ensure that throughout the employee experience, our employees are dealt with professionally and that the HR team are positively valued by their internal colleagues and external stakeholders.
Provide day to day support to the Head of HR and contribute to the wider HR agenda by participation in key projects.
Specific requirements for the role:
- Responsible for people administration including all documentation and ensuring accurate recording and updating on Chronicle (HR Software).
- Support the managers with all required correspondence regarding change of contract letters, VOC’s, leaver confirmation letters, probation letters etc. Ensure, where appropriate, signed letters are uploaded onto Chronicle.
- Track and ensure there are no outstanding documents from colleagues and or managers including signed T&C’s escalating where necessary.
- Monitor and record employee training and certifications to ensure regulatory requirements are met.
- Keep all current and former colleague personnel files ordered and up to date in line with GDPR regulations including filing/uploading new paperwork and disposing of documentation no longer required.
- Actively support the onboarding process from end to end including the setting up of new colleagues on Chronicle.
- Support the Head of HR when directed to in undertaking leaver experience meetings with our colleagues and updating the relevant trackers.
- To support in the recruitment function directed by the Head of HR, including advertising vacancies and completing the initial shortlisting, alongside the recruiting manager for Junior and mid-level roles, initiating first contact.
- Work closely with the Head of HR and payroll to assist with new or updated employee contract queries and inform payroll of leavers and starters and variations to contracts etc.
- Support the Head of HR when required with employee benefits and promotions including communicating changes liaising with the Finance department.
- Support in updating policies and procedures as required, directed by the Head of HR.
- Participate in company-wide projects that support the design and implementation of our HR framework when requested.
