We are seeking a highly professional, proactive, and discreet Personal Assistant to support the senior Partners of our private equity firm. This role demands a high level of organization, attention to detail, and the ability to manage a wide range of executive and personal tasks in a fast-paced, high-pressure environment.
Key Responsibilities
- Executive Support: Manage complex calendars, scheduling meetings, calls, and travel across time zones. Coordinate and prepare materials for meetings, including agendas, presentations, and minutes. Screen and prioritize communications, emails, and calls. Liaise with internal stakeholders, portfolio companies, investors, and external advisors. Handle confidential documents and ensure proper filing and data management.
- Travel & Logistics: Organize international and domestic travel arrangements, including flights, accommodation, visas, and detailed itineraries. Ensure seamless travel experiences by proactively managing changes and delays.
- Administrative Duties: Process expense reports and reimbursements in a timely manner. Assist with event planning (board meetings, investor events, team offsites). Maintain contact databases, document filing systems, and internal tools. Support onboarding of new team members and external consultants when needed.
- Personal Support (as needed): Manage occasional personal errands, appointments, and household-related admin. Coordinate personal travel and diary management for Partners and their families.
Qualifications and Skills
- Minimum 5 years of experience as a PA/EA in a financial services or high-level corporate environment.
- Proven ability to work with C-suite executives and handle confidential information.
- Excellent organizational and multitasking skills.
- Strong communication skills, both verbal and written.
- Proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word).
- High emotional intelligence, discretion, and integrity.
- Comfortable working independently and proactively managing changing priorities.
