Facilitate and manage the day to day operations of our Next office in London. You will ensure the smooth and efficient running of the office, events, facilities management and Health & Safety requirements. Creating a positive employee experience and maintaining a professional yet welcoming environment.
Workspace Point of contact for AP employees:
- Fire process, app, room bookings, office tour, courier set up, gsuite training
- New starter tour and induction
- Frequent office space checks ensuring repairs and maintenance within the office environment is reported and resolved within a timely manner
- Support, advise or redirect staff with their queries over IT, mobiles, landlines, carriers, etc.
- Management of carrier and courier accounts, managing daily collections
- Coordinate and manage E&W expenses and invoices
- PAT testing of all NEXT equipment as required
- Order and distribute stationary for AP employees
- Management and distribution of direct to desk for AP
Health & Safety:
- Ensure all H&S policies, procedures, rules and regulations are adhered to, reviewed, updated and communicated in line with NEXT H&S procedures
- Ensure E&W team maintain Fire Warden and First Aider levels for number of employees, arrange First Aider and Fire Marshall training and gifting
- Ensure Fire Grab Bags and First Aid Boxes are stocked up across AP
- Investigate, Log and report any H&S incidents
- Log and manage dietary requirements, medical issues, allergens, pregnancies - update FA team monthly
- Organise annual flu vaccinations
- Individual Risk Assessments for all AP employees
- Quarterly training refresher to all FW & FA
Events & Activations:
- Coordinate seasonal office decorations
- Support with activation research and vision boards to ensure a fun environment for employees
- Order and distribute office and event food in a timely manner
- Assist with the preparation of all activations and events
IT Management:
- Partner with the Service delivery management to improve ways of working
- Manage, order and distribute all equipment for AP employees
- Work with the technology team to ensure IT across the building is fit for purpose
- App support
