Merrifield Consultants are delighted to be partnering with a media development not-for-profit organisation to recruit an Office and Project Coordinator. This is a fantastic opportunity to join a collaborative and purpose-driven team working on impactful international projects that champion ethical journalism and media freedom.
Summary of the Role
This dynamic position supports day-to-day operations and project activities, ensuring the smooth running of both the office and project workflows. It involves administrative support, coordination of events and travel, record-keeping, and financial assistance. This is a key role at the heart of the organisation's mission and international reach.
Role Details:
- Salary: £30,000
- Contract: Full-time, permanent
- Location: London (hybrid model - 3 days office, 2 days remote)
- Start date: ASAP
- Reports to: Operations and Finance leads
Key Responsibilities
Administration
- Maintain and organise digital records and collaboration tools (Dropbox, Teams, SharePoint)
- Assist with documenting internal procedures and policies
- Keep contract templates current and compliant with UK regulations
- Coordinate supplier relationships, procurement, and pricing negotiations
- Support event planning and execution (e.g. workshops, conferences)
- Record minutes for Board and internal meetings as needed
- Assist in supervising administrative staff and managing office supplies
Project Coordination:
- Support project proposals and budget preparation
- Monitor project budgets and expenses in line with internal policies
- Schedule project meetings, manage documentation and timelines
- Track KPIs and update project metrics for reporting
- Ensure effective file management of project documentation
- Coordinate logistics for international travel and UK-based training
Finance Support (under supervision):
- Process domestic and international payments
- Maintain invoice and payment registers
- Check expenses and invoices for accuracy
- Support month-end reconciliations and financial documentation
- Liaise with bankers and assist in financial preparations for audits and board meetings
Person Specification
- Minimum of 2-3 years' experience in administration or project coordination
- Proven ability to draft and manage project budgets
- Familiarity with financial processes or willingness to learn
- High attention to detail with strong record-keeping skills
- Proficient in Microsoft Office and collaboration platforms
- Excellent organisation and time management skills
- Strong verbal and written communication, including minute-taking
- A flexible, proactive, and solutions-oriented approach
- A degree in project management, international relations, journalism, or similar (preferred)
- Experience within the not-for-profit or media sector (desirable)
