Our client, a leading luxury interior design company, is looking for a proactive and detail-oriented Executive Assistant to join their team. In this multifaceted role, you’ll provide essential support to the Head of Design and collaborate closely with the Director Leadership Team to ensure smooth daily operations and effective communication across departments.
About the Role:
As the Executive Assistant, you’ll act as a key point of contact for both internal teams and external partners, ensuring that everything runs efficiently and seamlessly. You’ll provide critical support in a variety of areas, from diary and email management to assisting with the Head of Design’s personal administrative tasks. A major part of your role will be helping to streamline processes and ensure that the team stays on track—whether that means taking minutes at meetings, managing logistics for upcoming events, or organising travel. You will also play an important role in supporting the Director Leadership Team, acting as a communication bridge and helping to coordinate their schedules and travel arrangements. Additionally, you’ll be involved in new business admin and contribute to the company’s ongoing growth and success.
Key Responsibilities:
- Provide comprehensive administrative support to the Head of Design, including calendar management, personal admin, and correspondence handling.
- Take ownership of communication with clients, suppliers, and internal teams, ensuring responses are timely and professional.
- Coordinate travel arrangements, both personal and professional, and assist with event logistics.
- Prepare and manage presentations, documents, and meeting minutes, keeping everything organised and on track.
- Support the Director Leadership Team in managing their schedules, preparing meeting materials, and streamlining processes to improve efficiency.
- Assist in the organisation of company events, including away days, talks, and dinners.
- Help maintain up-to-date design archives and reference materials, ensuring everything is easily accessible.
- Liaise with key teams (e.g. Marketing, HR, Business Development) to ensure smooth operations across the company.
- Assist with research for new business opportunities and provide admin support for client meetings and presentations.
What We’re Looking For:
- Proven experience as an Executive Assistant, preferably in the design or creative industries, ideally about 4-5 years experience.
- Strong organisational skills and the ability to juggle multiple priorities in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe InDesign (essential).
- Excellent written and verbal communication skills with an eye for detail.
- Ability to build relationships with a wide range of internal and external stakeholders.
