As a business assistant, you’ll apply your professional skills in a wide range of tasks, including:
- Data Entry: Accurately enter, update, and maintain data in a variety of databases and spreadsheets.
- Contact Management: Assist in managing and updating contact lists, including customer and supplier information (Excel and AirTable).
- Zoom Coordination: Schedule and manage Zoom meetings, including sending invitations and ensuring all necessary details are provided.
- Word Processing and Document Processing: Prepare, edit, and format text, documents, and presentations as needed.
- Data Mining: Conduct online research to gather relevant information as requested by a manager (e.g., company profiles).
- Excel Management: Create, update, and manage Excel spreadsheets to support business intelligence and reporting.

You have at least 7 years of experience serving in a senior administrative support position where you provided support as an executive or business assistant working in a fast-paced environment supporting business owners or CEOs. You are a team player with excellent communication skills and a positive outlook who cares deeply about helping others succeed. You take great pride in the quality of your work; you are proactive, dynamic, flexible, tech-savvy, results-oriented, and a stickler for details! And you do it all with a smile!
Required Skills and Experience:
- A minimum of 7 years of direct hands-on experience as an executive or business assistant to business owners (UHNWH) or Forbes list businessmen.
- Fluent Russian language command is a must!
- Advanced knowledge of online software such as Google Workspace, Office 365, Zoom, Jira, Slack, Notion.
- Ability to multitask with ease and prioritize work as needed.
- Highly organized with excellent time management skills.
- Ability to learn new tools quickly.
- Excellent interpersonal communication.
- Ability to work independently and under the pressure of deadlines.
Competitive compensation level will be negotiated with the finalist. Paid time off including vacation/sick leave. You shall be entitled to 23 working days paid holiday in each holiday year and up to 8 statutory bank holidays. The exact dates of the relevant public holidays will be notified to you each year. The office will be closed between Christmas and New Year and this period will be in addition to your annual leave. If for any reason you should be required to work any of the days during the period between Christmas and New Year you will be entitled to the same number of days worked to be taken as holiday in lieu. The Company’s holiday year runs between 1 January to 31 December each year. If the Appointment commences or terminates partway through a holiday year, your entitlement during that holiday year shall be calculated on a pro-rata basis rounded up to the nearest half day.
