About the Role:
As a Finance & Administration Officer, you'll provide vital financial and administrative support across various units within the Estates Directorate. Your role will focus on process improvement, through the use of emerging technologies and ensuring financial transactions are managed with precision and efficiency. Key Responsibilities:
- Process purchase invoices, manage requisitions, and handle the full 'purchase to pay' process. Ensure all financial transactions are recorded accurately and on time.
- Assist in providing comprehensive financial reports and management information, including expenditure reports for long-term maintenance, small works, utilities, and more.
- Offer guidance on financial regulations, procedures, and purchasing policies to colleagues across the Directorate.
- Help business unit managers track and reconcile budgets, identify discrepancies, and provide corrective advice where necessary.
- Provide cross-unit support, ensuring that all areas of the Estates Directorate receive the assistance they need, particularly in the absence of other team members.
- Handle internal and external enquiries efficiently, offering excellent customer service at all times.
What We're Looking For:
- NVQ II/III in Financial Administration or equivalent, along with experience in a Financial and Administrative role.
- Proficiency in Microsoft 365 (especially PowerBI), and a good working knowledge of modern office tools such as Oracle and Adobe Creative Cloud.
- Experience administering budgets, invoicing, and producing high-quality financial reports.
- Ability to reconcile spend and forecast positions, identify discrepancies, and take corrective action when needed.
- Proven ability to communicate clearly and work collaboratively with internal teams, suppliers, and customers.
- Understanding of Health & Safety legislation in both office and site environments.
