Hospitality Coordinator, London

Ready to step into the world of high-end meeting and event planning? At Convene we are looking for a Hospitality Coordinator who thrives on making things happen. As the connector of the dots, you’ll partner with our Event Managers to see every event through from concept to \’wow.\’ You are hospitality through and through—meaning you care just as much about the behind-the-scenes execution as you do about the first hello.

Please note candidates must currently reside in the UK and be able to work in the UK without sponsorship.

What you will do:

Effectively communicate via verbal and written correspondence with all levels of employees and clients; exhibiting GRIT in all interactions
Work dynamically and prioritise departmental functions to meet deadlines
Welcome and greet clients and their guests
Problem-solving/requests at the desk
Liaison with the Operations Team along with WP-Members; assist with Robin (Room Booking) reservations, catering orders, building requests (badges, tickets, work orders), sorting/delivering mail & packages
Lead show rounds when required
Assist with service execution; set-up and breakdown, and support during peak periods
Assist with coordination for setup and execution of all functions with the Service, Production, Technology, Customer Success, and Culinary departments
Manage Welcome Desk ensuring clean and organised; responsible for badge printing and stocking of materials
Maintaining cloak room
Orchestrate and set up Surprise & Delights for clients
Check-in guests with proxy click and show reception/nourish area
Support meetings and guests when needed
Assist the Conference & Events Manager and Chefs with scheduling and administrative responsibilities
Create and maintain positive relationships with building management and landlord partners
Ensure Standard Operating Procedures and Brand Standards are being adhered to and support any updates accordingly when applicable
Platform use in: Salesforce WXM Portal, ProxyClick, Envoy, GoParrot, Square, Robin, ZenDesk, Microsoft (*word, PowerPoint, excel), and Outlook

What We Look For:

Ability to work effectively with clients
Flexible and long hours sometimes required
Ability to move, lift, carry, push, pull and place objects up to 25 Kg without assistance
Ability to reach overhead and below the knees, including bending, twisting, pulling, and stooping
Ability to stand, sit, or walk for an extended period of time
Basic knowledge of Audio/Visual equipment set up and usage
