This full-time role is an exciting opportunity for an Events Executive with 2 years' solid professional events experience looking to take on a new challenge. The role includes end-to-end event management of approximately 15 events annually, which consists of networking receptions, corporate dinners, webinars, half-day forums and breakfast roundtables. The size of events will vary from 20 to 300 attendees and the majority of events will take place in London with some events requiring travel within the UK.
The role will offer you:
- Full end-to-end event planning, management and delivery of designated events
- Sourcing, recommending and booking venues for designated events within London and the UK
- Liaise with the marketing team to ensure all event marketing activities are planned and carried out in advance of the event taking place and design work is booked in and created in advance ie collateral such as programmes etc
- Liaise with venues to ensure setup, catering and AV requirements are met
- Source, recommend and book relevant suppliers and speaker (where necessary) for designated events
- Speaker and content support - including researching suitable speakers, issuing speaker invites, follow ups and RSVPs, researching topics and themes
- Collect, collate and process delegate bookings and feedback from each event and produce debrief reports for speakers and the events team
- Delegate management; including event bookings, pre and post event correspondence such as confirmations, questionnaires and general enquiries
- Maintain records of attendee numbers and sales in CRM, Evocos and relevant spreadsheets and maintain an online filing system for each event
- Work on site at each event to ensure smooth delivery, this involves travel around London and some overnight stays within the UK
- Comprehensive post event wrap up which includes attendance surveys, reviewing feedback received, finalising budgets, chasing and processing invoices, ensuring revenue is accurately recorded, recording and reporting final attendance data, uploading attendance to CRM, drawing comparisons with previous year, full evaluation, analysis, recording and reporting of the event.
- Ensure CRM is updated with relevant contacts, marketing lists, course bookings and survey results
- Manage expenditure of event budgets ensuring contracts are negotiated and cost savings achieved wherever possible.
- Work with the commercial team to ensure gross profit achieved or exceeded.
- Provide status report to Events Director post events
Requirements

- Strong project management skills and experience delivering a variety of events end-to-end for 100 delegates/attendees
- Strong time management and organisational skills with the ability to manage multiple day-to-day tasks while maintaining high quality standards

- Excellent written communication and presentation skills
- Professional telephone manner combined with polite and persuasive communication skills
- Collaborative and consultative approach

- Experience of using both a CRM such as Microsoft Dynamics along with a CMS platform
- Proficiency in the use of Microsoft Office including Outlook, Word, Excel and PowerPoint
- Professional appearance and personal skills to act as a BVCA Events ambassador to both internal and external stakeholders
- Willingness to work extra hours when required
