About the role and about you
Historic Royal Palaces is a team of people who love and look after six of the most wonderful palaces in the world and their magnificent historical gardens. We are recruiting for a Schools and Communities Team Administrator Apprentice giving you a fantastic opportunity to grow your skills whilst working at the beautiful Hillsborough Castle and Gardens. Being an apprentice is an exciting challenge often demanding but hugely rewarding. You will be training within a heritage environment, working alongside and learning from our experienced and dedicated team, developing skills and knowledge. This role will help ensure the smooth running of the Public Engagement service at Hillsborough Castle and Gardens by providing efficient administrative and operational support.
Whilst undertaking your apprenticeship training your key areas of responsibility:
- Support administration of Public Engagement bookings and admissions.
- Deal promptly with enquiries received by telephone and email providing information and advice on sites and all public engagement programmes.
- Process School bookings.
- Issuing teacher confirmation and pre-visit paperwork as necessary using the Public Engagement booking system.
- Liaise with presenters about session bookings and inform of any changes to their schedule.
- Assist front of house teams to resolve any visitor operational issues and emergency situations arising with Public Engagement groups.
- Share responsibility of all Public Engagement related financial processes with the Site Coordinator and Public Engagement Manager.
- Provision of meet and greet service for school groups.
- Identify any visitor operational issues and emergency situations arising and work with the Public Engagement Site Facilitator to resolve them.
- Be familiar with and comply with our safeguarding policies and procedures.
- Deal with customer queries and complaints, reporting up to Operations Manager.
- Provide 5* customer service to school groups visiting the other palaces when required.
- Work alongside Hillsborough Volunteers.
- Support the Public Engagement Site Facilitator to manage all learning spaces, resources and internal communication of learning activities across all sites.
- Help ensure learning spaces and equipment are ready for use and report any maintenance issues to the Site Facilitators.
- Help set up furniture and equipment in learning spaces as required for Public Engagement programmes.
- Support Public Engagement programmes when required. This may involve weekend/evening work.
- Provide general administrative support to the Public Engagement team as required.
More than anything we are looking for potential, but, as this apprenticeship starts at level 2 we do have a few eligibility requirements:
- You must be 18 years old or over on 1st September 2025.
- Live in UK (resident in country role is based).
- You must not have completed a degree or equivalent level qualification in the UK or elsewhere and not already be in full-time education.
- You must have a minimum of Level 2 in Maths and English.
