Job Purpose:
We are seeking a highly organised and proactive Office Assistant to join our team in London. The successful candidate will provide comprehensive administrative support to ensure the smooth operation of the office. Additionally, the Office Assistant will provide holiday cover for the Executive Assistants (EAs), ensuring continuity of support during their absence.
Key Responsibilities:
General Office Duties:
- Greet and assist visitors to the office.
- Manage office supplies and inventory.
- Handle incoming and outgoing mail and deliveries.
- Maintain a clean and organised office environment.
- Assist with scheduling and coordinating meetings and appointments.
- Assist with organising video conference meetings and any catering requirements.
- Support Operations Manager with office facilities and maintenance.
Administrative Support:
- Prepare and edit documents, reports, and presentations.
- Assist with data entry and maintaining records.
- Handle phone calls and correspondence (emails, letters, packages, etc.).
- Support the team with various administrative tasks as needed.
Holiday Cover for Executive Assistants:
- Provide comprehensive support to executives during the absence of EAs.
- Manage executive calendars, including scheduling meetings and appointments.
- Coordinate travel arrangements.
- Handle confidential and sensitive information with discretion.
Qualifications and Skills
- Proven experience as an office assistant, administrative assistant, or in another relevant administrative role.
- Excellent organisational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to multi task and prioritise tasks effectively.
- Attention to detail and problem-solving skills.
- Professional and friendly demeanour.
- Ability to work independently and as part of a team.
- Experience in providing support to senior executives is a plus.
