A highly respected intellectual property firm is looking for an experienced Trade Mark Administrator to join its established team in London. With a hybrid working model (two days in the office, three from home), this role presents an opportunity to work with leading Trade Mark Attorneys while benefiting from flexibility and stability.
The Role:
You will play a key role in supporting Trade Mark Attorneys with case management, application filings and administrative tasks throughout the prosecution process. You will have at least two years of trade mark experience and a strong background in IP administration.
Key Responsibilities:
- Preparing and distributing correspondence and legal documentation, ensuring all materials are accurately recorded in the firm’s document management system.
- Creating and managing trade mark case records using the firm’s case management system, including tracking deadlines and digital workflows.
- Filing UK, EU and international trade mark applications and handling post-filing formalities, including recording work-in-progress (WIP).
- Gathering and preparing documentation for trade mark applications and oppositions, such as powers of attorney and arranging for legalisation where required.
- Drafting, formatting and scanning documents, as well as managing their dispatch via email, courier, or post.
- Generating trade mark portfolio reports for clients and maintaining up-to-date records.
- Liaising with intellectual property offices and overseas associates on various trade mark matters.
- Updating case records with relevant changes, including deadline extensions, contact detail amendments and trade mark transfers or abandonments.
- Processing recordals such as assignments, name and address changes, seniority claims and renewals, including filing online forms and preparing supporting documents.
- Handling trade mark registration certificates, publications and official notices while coordinating with attorneys, clients and external partners.
- Managing the intake and processing of takeover cases within the firm’s database.
Skills & Experience Required:
- A minimum of two years of experience in trade mark administration.
- Previous administrative experience in a legal or professional services environment.
- Experience working within an Intellectual Property setting.
- Strong IT skills, including proficiency in Microsoft Office and Outlook.
- Excellent written and verbal communication skills.
- A proactive and self-motivated approach with keen attention to detail.
- Strong organisation and time management skills, with the ability to prioritise workload effectively.
- The ability to work efficiently under pressure while maintaining accuracy.
- Additional European language skills would be an advantage.
