The Executive Assistant role is pivotal in providing top-tier administrative and organizational support to the Consulting team. It involves managing schedules, coordinating travel, handling correspondence, and preparing for meetings with a keen eye for detail and policy compliance. This role is not only about individual task management but also about fostering collaboration, upholding firm values, and contributing to the broader team and firm initiatives.
Role Responsibilities
- Full administrative support to Partners/Principals/Managers including travel arrangements and expenses (complying to policy).
- Full in-box management to Partners and assisting Principals where capacity allows.
- Full calendar management to Partners/Principals/Managers including setting up and prioritising meetings.
- Meeting preparation in advance, e.g. workshop materials, logistics, events, printing and binding.
- Producing high quality and accurate results in terms of diary management, emails and documents.
- Understanding and utilising Latitude and Box to manage and save materials appropriately.
- Providing general office assistance and working as part of a team.
- Acting as a role model by displaying exceptional values, attitudes and behaviours.
- Liaising and acting as a point of contact between Heidrick & Struggles and clients.
- Collaborating with other practice groups across Heidrick & Struggles globally.
- Attending relevant meetings to understand business pipeline and project opportunities.
- Understanding systems including Latitude, PeopleSoft, Heidrick Gateway, Box, Outlook, Word, Excel, PowerPoint.
Basic Role Qualifications
- High school education/ A Levels required; university degree desired.
- Substantial administrative experience in roles requiring strong project coordination.
- Proficient knowledge of office software, such as Microsoft Outlook, Word, Excel, PowerPoint.
- Exceptional communication skills, both written and verbal.
- Strong organisational and planning skills.
- Experience dealing with people at all levels of an organisation.
- Team player mindset, ready to provide general office assistance.
- Professional services experience is a plus.
- Fluent English – speaking and writing.
