To support the PCN clinicians’ smooth running of clinics by performing the routine administration tasks. To provide more general administrative support to help deliver PCN projects and improve PCN operations.
Job Purpose
To contribute to the Orpington Primary Care Network achieving its goal of improving patient care amongst its practice population. You will primarily be working on the PCN Ehub Service whilst providing administrative support to various other projects across the PCN.
Key Relationships
PCN Clinical Directors, PCN Network Manager, Digital and Transformation Lead, PCN GP Assistant, GPs, Practice Managers and other practice staff, patients and carers.
Duties
· Process communications such as e-consults, blood test requests, daily tasks and eRs referrals;
· Arrange appointments, referrals, tests and follow up appointments of patients
· Extract information from clinical letters needing coding and adding to notes
· Liaise with patients over appointments, explaining treatment procedures etc
· Support quality improvement projects within the PCN;
· Collect and collate data to support monitoring of PCN performance;
· Set up and manage appointment books;
· Monitor use of clinical appointments by practices;
· Organise enhanced access appointments rota and ARRS rotas;
· Trace in patients on the clinical computer system, where GP connect not viable.
· Set up new members of staff on the relevant systems (EMIS etc) and support their induction;
· Diarise, administer and minute meetings and ensure action points are progressed.
· Maintain effective communications with practices and with colleagues within the PCN;
· Liaise with other organisations such as Bromley GP Alliance and South East London Integrated Care Board where appropriate;
· Provide leave cover for PCN Administrator colleagues;
· Participate in training, as appropriate;
· Work within organisation policies, procedures and guidelines.
· Any other duties considered appropriate to the post.
PCN Services and Operation responsibilities
· EHUB Service – Main admin support for the service. Rota management, appointment book management, monthly service reports, Liaising with practices, implementing service improvement ideas, etc
· BCHIP Service – Scheduling the rota and clinics. Rebooking/cancelling appointments. Completing admin and referral tasks. Troubleshooting general service issues and more.
· Searches/Reporting – Running PCN wide searches and reports using Emis S&R functionality
· PCN Website and socials – Support with updating the PCN website and PCN socials in a timely manner with new updates.
· Meetings and Minutes – Arranging and taking minutes for the PCN Meeting, Ehub Meeting, and other PCN wide meetings.
· New PCN wide services and projects – Providing administrative support for new PCN projects within your capacity
