We have a fantastic permanent role for you as a Lead Document Controller based with our client in Inverclyde. THE SUCCESSFUL APPLICANT Essential: * Minimum 3-5 years of experience in document control, preferably in a shipyard or manufacturing environment. * Strong understanding of document control principles and best practices. * Proficiency in document management systems (DMS) or similar software. Preferred: * Knowledge of shipbuilding practices and terminology. * Experience with project management methodologies. * Understanding of relevant quality management standards (e.g., ISO 9001). JOB DESCRIPTION * Lead and manage a team of document controllers: o Provide training and guidance to ensure team members understand and adhere to document control procedures. * Delegate tasks and monitor performance. * Address any issues or challenges faced by the team. * Develop and implement document control procedures: * Establish a system for receiving, registering, classifying, and distributing documents. * Ensure compliance with industry standards and company policies for document control. * Develop and maintain a document management system (DMS) or utilise existing systems effectively. * Manage document revisions and approvals: * Implement a system for tracking document revisions and ensuring only the latest approved version is used. * Facilitate the approval process for new and revised documents. * Maintain an audit trail of all document revisions. * Control access to documents: * Define user access levels within the DMS to ensure only authorized personnel can access specific documents. * Implement procedures to safeguard sensitive information. * Archive and retrieve documents: * Establish a system for archiving project documents according to company policies and regulatory requirements. * Ensure efficient retrieval of archived documents when needed. * Liaise with various departments: * Work closely with engineering, design, planning, procurement, and other departments to ensure proper document flow and access. * Respond promptly to inquiries from internal and external stakeholders regarding documents. * Maintain accurate and up-to-date document registers: * Track all documents within the project, including their status, location, and revision history. * Identify and implement improvements to document control processes: o Continuously analyse the document control system and identify opportunities for improvement. * Implement new technologies and best practices to enhance efficiency and accuracy.
