Key responsibilities

  • Lead the planning, resourcing and implementation of building maintenance, refurbishment and capital building projects ensuring projects are completed on time and to budget.
  • Provide leadership, management, development and expert guidance to the wider Maintenance team to build a culture of continuous improvement and ensure that the appropriate personnel administration and record keeping is completed in a timely manner.
  • Focus on quality-of-service delivery, ensuring best practice.
  • Responsibility for the delivery of Maintenance Helpdesk services and systems.
  • Planning and supervising the day-to-day work of the maintenance team and working alongside them to achieve the College's objectives.
  • Planning and scheduling all maintenance for buildings and facilities associated with the College including external hostels.
  • Provide technical expertise and advice to the maintenance team.
  • Responsible for liaising with relevant departments within the College to facilitate maintenance and repair work.
  • Carry out ongoing reviews of all projects and propose long term maintenance plans including preventative maintenance within budgetary guidelines.
  • Ordering supplies, spares and equipment for the department as appropriate.
  • Produce and maintain accurate records of all plant maintenance, servicing schedules and all sub-contractor repairs as well as for larger projects.

Operational & Financial Responsibilities

  • Work across the College to support all aspects of operational service delivery.
  • Prepare and manage the annual budgets for planned and reactive maintenance and capital building projects keeping within agreed expenditure levels.
  • Support and implement the objectives of Accommodation Network UK (ANUK) standards.
  • Determine the preferred supplier list for the Department and liaise with external contractors for buildings and other works as required.
  • On designated projects, manage external contractors on planned and reactive maintenance to ensure they meet the agreed contractual terms in terms of cost, time and quality of work.
  • Assess and forecast financial performance, including comparison with actuals to budget, consider outlook and manage to deliver agreed financial outcomes.
  • Ensuring the best and most cost-effective use of resources.
  • As a member of the Domestic Bursar's leadership team, contribute to the development of the wider College operational plans and approach.
  • Represent the Department on the Buildings Committee and other Committees, where requested, to provide specialist input and advice on maintenance-related matters.
  • Checking and managing quality and standard of work carried out by the maintenance team and contractors.

People Responsibilities

  • Motivate, develop and lead the maintenance team.
  • Build good relationships with external suppliers, ensuring contracts are well managed.
  • Build trust and confidence through open communication.
  • Ensure compliance with HR policies and procedures.
  • Line managing the maintenance staff and identifying and organising appropriate staff training.
  • Develop and maintain strong working relationships with the team, external contractors and internal and external customers.
  • Hiring external contractors and specialists for specific tasks in consultation with the Domestic Bursar.

Health & Safety Responsibilities

  • Maintain a health and safety culture ensuring that all work undertaken by internal staff and external contractors is carried out in accordance with approved building health and safety standards.
  • Maintain an up-to-date knowledge of developments in the construction industry and buildings health and safety legislation to ensure that the maintenance department are compliant in their approach to maintenance and capital projects.
  • Maintain all paperwork associated with Health & Safety compliance, including but not limited to asbestos, legionella, Portable Appliance Testing, Electrical Testing.
  • Ensuring the welfare of the maintenance team in line with Health and Safety legislation including the completion of appropriate risk assessments and safe operating procedures.
  • Participate as a member of the Health and Safety Committee.

Carbon Footprint

  • Lead the Maintenance Department in our commitment to reducing the carbon footprint of the College with particular focus on consumption monitoring and energy conservation, recycling and waste management and emissions measurement and targeting strategies.
  • Support and contribute to the development of the College's environmental strategy, implementation plans and implement agreed environmental improvements to the College estate.
  • Contribute to the Colleges Environmental Sustainability Working Group.
