The Role:

We are looking for a highly skilled Executive Assistant to provide exceptional administrative and executive support to the CEO and senior leadership team. This role requires a proactive and highly organized professional who can manage multiple priorities, handle confidential information with discretion, and collaborate effectively across all levels of the organization. As a trusted partner to senior leaders, you will play a key role in ensuring smooth operations, efficient communication, and high-level executive coordination.

Key Responsibilities

  • Executive Support & Administration: Provide high-level administrative support to the CEO and senior leaders. Manage complex calendars, coordinate meetings, and ensure seamless scheduling across multiple stakeholders. Handle confidential communications, acting as a gatekeeper and liaison on behalf of executives. Prioritize and manage multiple tasks efficiently, ensuring timely follow-ups and resolution of key matters.
  • Meeting & Event Coordination: Plan and organize on-site and off-site executive meetings, ensuring all logistics are handled effectively. Prepare agendas, take minutes, and track follow-up actions. Support the creation of presentations, reports, and briefing materials. Involved in events team and runs own events.
  • Travel & Logistics Management: Arrange international and domestic travel, including flights, accommodations, and itineraries. Ensure smooth travel experiences by proactively managing logistics and addressing any changes.
  • Communication & Stakeholder Management: Serve as a key point of contact between executives, internal teams, and external clients. Draft, review, and manage correspondence, ensuring clear and professional communication. Represent executives in meetings when required, ensuring critical information is relayed effectively.
  • Technical & Administrative Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Strong experience using PowerPoint to create high-quality presentations. Excellent calendar management skills, with experience handling complex scheduling. Experience managing domestic and international travel arrangements.
  • Personal Attributes: Exceptional organizational and multitasking skills. Strong written and verbal communication abilities, with confidence in engaging at all levels. High level of discretion and confidentiality when handling sensitive information. A proactive and resourceful problem-solver with strong decision-making capabilities. Ability to work independently with minimal supervision while being an integral part of a team. Adaptable and able to thrive in a fast-paced, dynamic environment.
