We’re looking for an experienced Personal Assistant / Executive Assistant to join a close-knit yet fast-paced business in Renfrewshire.
You will be the right-hand person for the female business leader while also providing operational support to the entire office, embracing the family values and ethics that the company was built on. This is a fast-paced role with tasks that vary day-to-day, making it ideal for someone who is ready to hit the ground running and be part of the team from day one. You will need to bring high energy and focus to every task, along with the ability to keep things moving and get things done efficiently, anticipating needs, solving problems quickly, and ensuring nothing falls through the cracks. This role has flexibility on start and finish time with the option to work a 4 day week.

Responsibilities within your new role:
- Serving as the first point of contact for the CEO, ensuring seamless communication between internal teams, external stakeholders, and key partners. This will include screening and prioritising emails, calls and meeting requests.
- Managing complex, fast-moving diaries, including short, medium and long-term scheduling for internal and external meetings, travel arrangements, events and personal commitments.
- Providing support to the CEO in fulfilling their responsibilities as a charity board member, including coordinating and organising events.
- Producing high-quality documents, reports, and presentations on business initiatives to support business growth and presenting insights and findings back to the CEO and senior leadership.
- Attending internal and external meetings alongside the CEO to take clear, concise, and actionable minutes. Then proactively following up on action points to support organisational efficiency and accountability.
- Assisting with company secretarial and governance duties as required e.g., assisting in the coordination of board and committee meetings and ensuring all internal governance documentation is accurate, up-to-date, and filed in accordance with legal and regulatory standards.
Your personality, experience and qualifications:
The ideal candidate will have excellent experience in a similar Personal Assistant or Executive Assistant role, in small to medium sized team environments. We’re looking for someone who is confident working with tech as you will support the implementation of new systems and processes. You’ll have a strong understanding of the ever-changing nature of a successful business and demonstrate confidence and provide insights into important decision making. Given the nature of the role, it is important to maintain a high level of discretion and be a strong organiser in both professional and personal work.
