Finance and Administration Officer, Arts, London, temp role for 6-8 weeks initially, hybrid, £16.30 per hour plus holiday pay.
World-renowned Arts organisation based in Central London requires an efficient and methodical Finance and Administration Officer to deliver efficient administrative and financial support to colleagues. You will lead on budget tracking and work closely with the Head of Business Administration, managing existing financial workflows, plus assisting with budget analysis.
This department manages and enables access to the collections in both physical and digital format and the management and care of art, archive and library collections; also the facilitation of the programmes of acquisitions, exhibitions, displays, loans and international touring. There are 3 sections to this department - Collection Management, Conservation and Library, Archive & Collections Access. Also storage facilities and access to artworks held in storage.
Reporting into the Team Manager, responsibilities will include:
- Acting as first point of contact handling finance enquiries from colleagues
- Working within financial workflows collaborating with colleagues and other departments such as HR and Finance/Accounts
- Ensuring effective use of finance systems and supporting colleagues with expense claims queries
- Processing transactions on the finance system, ensuring all entries are coded accurately
- Reconciling monthly Management Transaction Reports with planned Purchase Order expenditure and administering any necessary recoding
- Supporting the Leadership and Management Teams with budget management and providing accurate and timely information for quarterly reforecasting
- Meeting with budget holders and the Accountant noting and communicating action points and progressing actions as required
- Facilitating strategic budget planning by analysing trends and providing insightful data as requested by budget holders
- Preparing the monthly payroll submission for department colleagues, liaising with the HR Operations Team should any issues arise
- Administering year-end processes including accruals and prepayments
- Raising sales invoices against costs recovered and income
Experience needed:
- Proven experience of providing financial support services within a busy office environment
- Commitment to outstanding customer focused service
- Experience of setting up, maintaining and improving administrative processes
- Previous experience working with ERP (Enterprise Resource Planning) systems would be desirable
- Excellent verbal and written communication and interpersonal skills with the ability to deal effectively and confidently at all levels
- Highly organised with the ability to prioritise, co-ordinate and delegate tasks
- Experience in budget monitoring and negotiating with suppliers
- Confident using MS Office packages including databases and spreadsheets
- Advanced Excel skills
- A proactive, flexible approach and an ability to work confidently on your own, as well as part of a team
