We have a creative and passionate workforce that design, build, manage and install outstanding exhibitions for some of the UK & Europe’s largest names. We are looking for our next like-minded individual, whose drive and determination will help us meet the growing demand from our valued customers.

Main purpose of job: The Business Administrator will be tasked with supporting the Directors and all departments within the business, including Design, Project Management, Accounts and Production. This is an important position within the heart of the business, which requires the successful candidate to be able to work across all departments and communicate with internal staff, clients and suppliers.

Main tasks of the job:

  • Operations:
    • Insurance – Ensure the Fleet Insurance is kept up to date with amendments made for additional staff, vehicles or removal where required.
    • Fleet Management – Responsible for the management of all vehicles including arranging for servicing, weekly maintenance checks, MOT, repairs, purchases, disposal, rental.
    • Couriers – Managing supplier relationships and supporting the internal team with bookings.
    • Warehouse Management – Working with the Warehouse Manager and Production & Installation Manager to ensure all H&S inspections are completed on a weekly, monthly, and annual basis.
  • Premises:
    • Insurance – Ensure this is kept up to date and regulations adhered to by all departments.
    • Waste & Recycling – Supplier management and coordination with the office and warehouse teams.
    • Landlord Liaison – Communicate to ensure any repairs or updates to the building and facilities are actioned.
    • Office Supplies – Responsible for stock management, ordering & deliveries.
    • Service Management – Liaise directly with service suppliers for both the office and warehouse.
  • Health & Safety:
    • Staff Induction – Complete for all staff joining the business.
    • Training & Qualifications – Arrange First Aid Training & Equipment Training.
    • Consultancy – Liaise directly with the H&S Consultant to ensure compliance.
    • Workwear – Responsible for stock management and providing staff with adequate H&S workwear.
  • Finance:
    • Xero Software – Updating the system with PO amendments, supplier details and client payments.
    • Receipt Management – Ensure all receipts are submitted within a timely manner.
    • Suppliers – Responsible for the set up & data entry of new and existing suppliers.
    • Accounts Receivable – Communicate with the Project Management Team and Client Finance departments.
  • Human Resource:
    • Timesheets – Responsible for daily updates within our Staff Management System.
    • Holiday / Sick / Lieu Days – Management of Staff Diary & HR System Updates.
    • Appraisals – Ensure diary bookings are made for required dates.
    • Contracts – Working with Directors and Line Managers to populate and issue contracts.
    • Recruitment – Assist Directors and Line Managers with posting adverts and arranging interviews.

Candidate Requirements:

Essential skills:

  • Business Administration - A minimum of 2-3 years previous office experience, working in a fast-paced environment.
  • IT Skills and Literacy - A proficient user of Microsoft (or equivalent) product suite and tools.
  • Task Management – Previous experience of using a Task Management System.
  • Finance Systems – Ideally have previous experience using finance systems.
  • Purchasing Systems - Prior experience of Purchasing/Buying a variety of different products and services.
  • Stock Management - Previous experience of stock/storage management.
  • Compliance - Support with arranging Staff Training & Qualifications.
  • Communication Skills - Strong verbal and written communication skills.

Desirable skills:

  • Previous experience within the Exhibitions and Events industry.
  • Experience of using Current CRM Database.
  • Worked within both an Office & Warehouse Production department.
  • Health & Safety Qualifications.

Location: MK17 8BU

Salary: Β£30,000 - Β£40,000 pa, dependant on experience and overall package.

Working Hours: Although this is advertised as a Full-Time position, there is the option for Part-Time hours with fixed hours to be agreed.
