We are looking for a highly organised, clear headed team assistant with obsessive attention to detail to report into multiple teams within our fast growing fine jewellery business. Previous experience as a manager or team assistant is essential. You must be well presented with an understanding of the luxury jewellery space. You must be proficient in Excel and both Microsoft Office suite and Mac OS. Experience with Shopify, Cin7 and Photoshop is an advantage. Jewellery experience is preferable but not essential; an understanding of the jewellery manufacturing pipeline would be beneficial.
Your role will include but not be limited to the following:
- Assistant to the Founder
- Support the founder in her day to day - diary management, liaising with different areas of the business to ensure the critical path for the year is executed.
- Logistical and administrative support to allow the rest of the business to fulfil objectives laid out in the company critical path.
- Internal coordination of product movement - repairs, plating, engraving.
- Support founder on bespoke logistics pipeline.
- Logistics and administrative tasks around new product development and launches.
- Management of packaging, visual and display props pipeline in line with product launches and implement brand packaging guidelines.
- Roll out of branding projects.
- Office Management
- Booking, organising & arranging shipping and couriers both nationally and internationally (DHL, Fedex, Malca Amit).
- Expenses reporting.
- Holiday request management.
- Carnet.
- Manage stock levels of packaging and office supplies.
- Logistical co-ordination for all brand events, collaborations, client or VIP events.
- Collating and editing brand materials and information packs aligning with brand identity.

- Resize & upload new products to Shopify, writing product descriptions with input from copy writer ensuring that brand tone of voice is being followed and adhered to.
- Monitoring of the website for discrepancies & out of stocks.
- Product
- Monthly stock take.
- Management of logistics around stock cataloguing - photography and video. Organising cut out imagery based on company guidelines, receiving, resizing and filing.
- General stock management.
- Manage asset library, photography renaming and organisation.
- Co-ordination of submissions to Assay office.
- Quality control on inbound product.
- Client Experience
- Reporting to Head of Client Experience.
- Setting up the showroom for client and buying appointments.
- Assisting in showroom appointments and standing in for Head of Client Experience on occasions when she cannot be present.
- Packing and shipping customer orders.
- Support on UK based trunk shows.
- Managing Studio calendar for client appointments.
- Customer service: liaising with the customer to make sure they are kept up to date on their order status in a timely manner, requesting EINs.
- Responding to client enquiries via email and WhatsApp.
- Supporting the ideation and execution of sales activations and events in line with the company objectives and calendar.
Package
3 month probation period with 1 months notice.
Salary £26 - 30k per annum.
25 days paid holiday plus Bank Holidays.
