Who We’re Looking For

We are seeking a highly organised and detail-oriented Production Coordinator to join our team. The ideal candidate will have a strong understanding of production processes, excellent communication skills, and the ability to multitask in a fast-paced environment.

The Role

The Production Coordinator reports directly to the Production Manager and plays a key role in overseeing and assisting in managing the product’s critical path on a day-to-day basis. This position is responsible for tracking tasks, deliverables, and addressing any issues to ensure timely completion and resolution.

The Production Coordinator works closely with various internal teams and directly with vendors, focusing on achieving the highest product quality, optimising costs, and ensuring timely delivery to warehouse/stores. The role supports the Design team’s vision while meeting the business need of getting products into stores on schedule.

Responsibilities

Production:

  1. Manage product samples, including organisation, tracking, and distribution as needed.
  2. Update and maintain the live production sample tracker.
  3. Liaise with suppliers to compile necessary product documentation (TDS sheets, IFI files, etc.).
  4. Raise seasonal and in-season Purchase Orders with factories alongside the Production Manager.
  5. Work closely with vendors to ensure that all orders are processed, and EX FTY dates are confirmed.
  6. Order bulk raw materials for CMT suppliers.
  7. Manage bulk packaging orders and top-up at the start of each season, including counter-sampling for cheaper alternatives.
  8. Collaborate with GT to ensure care labels are launched for CMT factories and approved for fully factored factories.
  9. Provide support to the Production Manager for special projects and product launches.

Administrative

  1. Organise raw material supplier documentation in the brand platform (purchase orders, order confirmations, invoices, packing lists).

  3. Support the Production Manager in monitoring the critical path and ensuring calendar milestones and deadlines are met.
  4. Analyse and review delivery schedules for factories and raw materials; provide updates to the Production Manager and highlight any changes.
  5. Conduct regular stock takes of in-house trims (assist in ordering carry-over trims for DEV + PROD teams).
  6. Set up and maintain an updated raw material tracker for CMT factories, tracking EX FTY dates, payment terms, and invoice details.
  7. Support the planning and pre-booking of raw materials with raw material suppliers and factories.
  8. Set up weekly Production WIPs for tracking raw materials with CMT factories, providing status reports on due dates as needed.
  9. Send AWB and dispatch dockets to factories when raw materials are dispatched to them.
  10. Perform daily, weekly, and monthly system updates, keeping all EX FTY dates in Zedonk up to date, as well as raw material dispatch bookings.
  11. Input data into the attributes file and send to the operations team for collection data upload, keeping product attributes updated.
  12. Maintain an updated NS for all product cost updates.
  13. Manage parcels and couriers to suppliers.

Deliveries

  1. Assist in reviewing shipping invoices and packing lists for bulk production shipments.
  2. Work closely with the Production Manager to ensure that shipping documents from the factory are passed to logistics, ensuring INBSHIPs and scheduled shipments are booked and picked up accordingly.
  3. Collaborate with vendors to negotiate cost-effective shipping methods once goods are ready.
  4. Assist the Production Manager in negotiating discounts for late deliveries and follow up on credit notes where applicable.
  5. Liaise with all departments to ensure that vendors have all required information for manufacturing and shipping orders (e.g., Supplier Manual, Vendor Checklist).
  6. Support the Production Manager in liaising with QC inspectors to ensure onsite visits are scheduled in advance of EX FTY dates.

Requirements

The Ideal Candidate:

  1. Strong multitasking ability with a focus on meeting deadlines.
  2. Detail-oriented with excellent organizational and time management skills.
  3. Proven problem-solving abilities and excellent communication and interpersonal skills.
  4. Ability to work independently and consistently meet deadlines.
  5. Proficient in Microsoft Excel (advanced skills: V-Lookup, X-Lookup, and Pivot Tables), Word, and Adobe (Illustrator, Photoshop).
  6. Proficient in Zedonk (essential).
  7. Minimum of 3 years of experience in production, preferably within a luxury brand.
  8. Strong administrative and communication skills.
  9. Previous experience in production and supply chain management is preferred, with basic knowledge of product manufacturing and an understanding of critical path management (calendar & timeline).
  10. Excellent listening skills and effective communication.
  11. Ability to prioritize tasks and adhere to deadlines.
  12. Ability to work well under pressure.
  13. Proactive with a strong desire to learn and grow.
