The HR Systems Manager will play a crucial role in ensuring that the People & OD department systems are efficient, user-friendly, and aligned with the overall objectives. This position will involve overseeing the development, integration, and maintenance of the HR and payroll information system in collaboration with internal IT teams and software suppliers.
About the Role
- Provide expert advice to the People & OD team on the continuous improvement and optimisation of administrative processes to benefit both the department and other users.
- Take full ownership of People & OD systems, serving as the primary contact for all related projects, initiatives, and system enhancements.
- Foster strong relationships with system providers and other key stakeholders, working with IT and service providers to ensure performance aligns with contract terms, service levels, and KPIs.
- Collaborate with the People & OD Department and IT teams to maximise the value of systems, ensuring they meet both functional and technical specifications.
- Work with the People Analytics and Reward Lead to leverage departmental systems and data to generate insights that support strategic decision-making and drive improvements.
- Coordinate user training and provide guidance for all system users, ensuring they are equipped to use the systems effectively.
- Document People & OD processes, manage departmental data, and oversee the data asset register, ensuring compliance with the Retention Schedule.
- Lead database administration and configuration tasks, including developing system screens, workflows, and reports.
- Review and approve user permissions as necessary.

Engage in continuous professional development, attending relevant training, research, and networking opportunities to stay up-to-date on industry best practices.
Leadership and Management
Act as a key member of the People Services Team, contributing to the team’s goals and sharing expertise for collective benefit. Collaborate with the People & OD Management Team to monitor customer satisfaction, resolve service-related issues, and generate sustainable improvements. Participate in internal audits, contributing to the development of audit recommendations and actions.
Essential Qualifications/Experience
- Advanced technical knowledge of HR and payroll systems, particularly iTrent.
- Excellent understanding of data protection regulations and best practices related to employee, worker, and job applicant data.
- Generalist HR experience, including knowledge of contemporary employment policies, recruitment, selection, and reward practices.
- Proficient understanding of payroll legislation.
- Familiarity with project management methodologies and practices.
