As a Tenancy Progression Coordinator, you will be responsible for ensuring a smooth and efficient process for new tenancies, renewals and licenses. You will liaise with prospective and existing residents, ensuring all administrative and compliance aspects are managed effectively. Your role is pivotal in delivering an outstanding customer journey from reservation to finalisation of contracts.
We're looking for someone with experience within tenancy regulation, writing tenancy agreements, right-to-rent checks and tenancy compliance.
Key Responsibilities:- Ability to manage workload to deliver end to end customer journey across AST and Serviced Apartment (SA) business
- To manage workload and deliver administration for commercial licenses across all leasable space across the Estate
- Excellent people skills with clear ability to communicate, delivering excellent service ensuring a frictionless journey
- Excellent team working skills flexing to the business needs
- Possess excellent customer service skills with ability to handle customer rental queries
- Work with external partners to deliver referencing process
- Work with the Tenancy Progression Team Leader to ensure all processes are completed ensuring business risk is mitigated
- To raise any compliance issues with the Team Lead to mitigate business risk
- Work within relevant deposit schemes to ensure all deposits are registered appropriately
- Follow up with all administrative tasks as required
- Complete all office duties as required
- Provide references for residents as required
- Awareness of legal and legislative requirements in relation to the industry
- Carry out apartment walks to ensure standards are met that support the Lease up of DSQ
- Use RealPage software to carry out the tenancy administration process for the AST business
- Serve as the point of contact for residents and customers through the tenancy progression journey
- Work with the Reception team to provide expertise for all tenancy related queries
- Work with the Reception team to deliver the correct RTR process and ensure move in’s are completed
- Manage all TDS certificates
- Ensure detailed notes are kept on RealPage to reflect tenancy administration and mitigate business risk
- Support the Leasing Team with all tenancy related administrative duties as required
- Support the Corporate Housing Operations Role with all Serviced Apartment paperwork and operations as required
- Deliver Business performance against AST and SA generation
- Deliver workflow of administrative functions that is aligned to manpower and supports best in class customer journey.
- Provide same day turn around on all rental queries to ensure delivery of customer journey
- Experience in a Tenancy Progression, Administration or similar role within a BTR/Property industry
- Strong knowledge of tenancy regulations, right-to-rent checks and compliance requirements.
- Excellent IT skills with experience of PMS
- Microsoft skills
- Excellent organisational skills with the ability to multitask and manage deadlines effectively.
- Strong attention to detail and accuracy in documentation.
- Excellent communication and interpersonal skills, including a proactive and customer-focused approach.
