In the absence of the Clinic Manager, you will have full responsibility to manage the daily operation of a CQC regulated clinic and all staff. Acting as deputy to ensure that the service provision is in line with the owner and brand expectations, whilst being responsible for the safety, care and wellbeing of all users of the service., This is a part time role with a contract for a minimum of 80 hours over 4 weeks; it involves working at least one weekend day and during the week (including evenings).

Flexibility is essential for the role, in order to ensure continuity of service levels and oversight in the Managers absence or periods of staff sickness; you will be required to work additional hours as needed above the minimum contracted hours.

Your main location will be our Stoke clinic however at times the role may require working in our Ellesmere Port clinic, for which travel and any expenses will be reimbursed.

Main Duties:

· Lead and supervise the clinic staff to ensure business objectives are consistently achieved relating to customer service, safety, efficiency and sales.

· Build rapport with customers, handling enquiries, concerns or complaints in a calm and professional manner

· Chaperone during the scans, supporting both the sonographer and the patient throughout.

· Professionally manage & make any medical pathways referrals required

· Manage calls, and respond to e-mails and messages in a timely manner

· Proactively manage the diary and bookings to mitigate issues with appointments.

· Book and when needed reschedule appointments according to business needs.

· Handle cash and card payments

· Accurately record and collate management information

· Ensure that the clinic is clean, safe, secure & well presented at all times

· Maintain accurate stock levels of consumable items, anticipate future needed supplies; verify receipt of supplies.

· Maintain and ensure compliance with Window To The Womb processes and procedures which are in accordance with the CQC guidelines.

  • Have previous experience of supervising/leading a team in a customer service environment.

  • Possess a high level of attention to detail and a calm and professional disposition.

  • Be competent in computer and social media use

Medical or ultrasound experience is not a necessity, thorough training & coaching will be provided to the successful person, This role is essential for enhancing the patient experience within our clinical setting, ensuring that all individuals receive the highest standard of care.
