Job Title: Property & Asset Manager

Location: Cardiff, UK

Salary: Up to £70,000 per annum (pro-rata 3 days a week)

Reports To: Owner / Managing Director

Job Summary:

The Property & Asset Manager will be responsible for overseeing the performance of property management firms and acting as the main point of contact for urgent and critical matters. This role requires a highly organised, discreet, and proactive individual with extensive experience in property management, administration, and project management. You will ensure that properties are well-maintained, legally compliant, and financially sound, while also looking for growth opportunities within the portfolio.

Key Responsibilities:

1. Property Management Oversight:

  • Monitor and assess the performance of property management firms, ensuring that they meet agreed standards and KPIs.
  • Ensure compliance with all legal, financial, and insurance obligations related to the properties.
  • Act as the primary point of contact for urgent property-related issues.
  • Liaise with the in-house accountant and provide regular financial and operational updates to the owner.
  • Oversee lease agreements, rental payments, and both preventative and reactive maintenance works.
  • Identify and assess potential opportunities for portfolio expansion and property acquisitions.
  • Ensure that all properties comply with relevant health and safety regulations.

2. Contract and Vendor Management:

  • Manage and negotiate contracts with vendors, service providers, and contractors.
  • Ensure that all service agreements are up to date and aligned with the owner's expectations and requirements.
  • Organise and oversee any recruitment processes required for property operations or management.

3. Project Management:

  • Coordinate and manage property renovation or repair projects from start to finish.
  • Liaise with architects, builders, and other professionals to ensure projects are completed on time, within budget, and to the required standard.
  • Oversee the budgeting and scheduling of all maintenance and improvement projects.

4. Technology and System Management:

  • Maintain and organise digital records and databases related to property management, financials, and other relevant areas.
  • Use technology and property management software to streamline processes and enhance efficiency.
  • Implement and manage systems to track property performance and asset lifecycle.

5. Communication Management:

  • Manage the owner's relevant email correspondence, prioritising and responding to important messages as needed.
  • Act as a gatekeeper, ensuring only essential and relevant communications reach the owner.
  • Provide regular updates on property operations, financials, and potential opportunities or issues.

Qualifications:

  • Proven experience in property management, ideally with a background working with high-net-worth individuals or portfolios.
  • Strong knowledge of the UK property market and associated legal frameworks.
  • Excellent organisational skills and the ability to manage multiple projects simultaneously.
  • High level of discretion, confidentiality, and professionalism.
  • Strong communication skills, both written and verbal, and the ability to liaise with various stakeholders.
  • Proficient in property management software, financial management tools, and other relevant technology.
