Experienced Facilities Manager – Central London Office Building
We are seeking an experienced Facilities Manager to oversee the day-to-day operations of a prestigious office building in Central London. The successful candidate will be responsible for ensuring the highest standards of facilities management, customer experience, maintaining excellent relationships with both occupiers and the client, and contributing to the overall success of the property investment.
This position reports directly to the Senior Facilities Manager (SFM) and may have line management responsibilities for Assistant Facilities Manager(s) (AFM). The role involves close collaboration with various teams within Property Asset Management (PAM), including Client Relationship Directors (CRDs), Contract Directors (CDs), Management Services, and Client Financial Services (CFS).
Key Responsibilities:
- Facilities Management:
- Deliver operational facilities-related client KPIs as outlined in the Property Management Agreement (PMA)
- Implement ‘Instinct’ customer experience initiatives in coordination with service partners
- Serve as the primary point of contact for occupiers regarding day-to-day building operations
- Monitor and report on tenant compliance with lease covenants
- Adhere to established procedures for out-of-hours cover and emergencies
- Prepare and monitor service charge budgets
- Conduct quarterly variance reporting and service charge reconciliation
- Manage non-recoverable budgets effectively
- Ensure all supplies and services are procured in line with JLL’s PAM procurement program
- Monitor contractor performance against agreed standards
- Review and manage service contracts as necessary
- Maintain high-quality health and safety arrangements in accordance with JLL’s risk management program
- Address risks identified in independent Risk Assessments
- Participate in JLL’s audit process and Site Compliance inspections
- Implement JLL’s ‘Socially Responsible Management’ program, including environmental and sustainability policies
- Oversee water hygiene and asbestos monitoring
- Ensure timely and cost-effective reactive maintenance and day-to-day service delivery
- Maintain familiarity with all building systems and equipment
- Assist in coordinating major works with building surveyors, architects, and consultants
- Identify and arrange minor planned works
- Maintain, test, and implement disaster planning procedures
- Organize and coordinate fire evacuation and bomb drills
- Maintain proper site records and documentation
- Develop and maintain occupier handbooks
- Monitor vacant/void property in conjunction with insurance policies
- Assist in insurance claim submissions and manage related works
Qualifications and Skills:
- Proven experience in facilities management, preferably in a commercial office environment
- Strong knowledge of building systems, health and safety regulations, and facilities best practices
- Excellent communication and interpersonal skills
- Financial acumen with experience in budget management and cost control
- Proficiency in relevant software and facilities management systems
- BIFM qualification or equivalent professional certification preferred
- Ability to work independently and as part of a team
- Strong problem-solving and decision-making skills
