MAIN PURPOSE OF JOB
Providing contractor control to facilities and maintenance support services, ensuring the organisation is compliant and that all scheduled maintenance is carried out as per specifications and timescales. Assisting the Facilities team with general day-to-day tasks such as office and laboratory moves, deliveries & removals, and maintaining levels of stock maintaining the helpdesk on a daily basis with ad-hoc duties.
Plan and schedule workflows with the Facilities Director, taking ownership of specific remedial work projects i.e valve and pump replacements.
KEY RESPONSIBILITIES
- Take the lead on, and ensure compliance that, all PPM tasks are up to date and that all associated building maintenance tasks are carried out to an acceptable standard.
- Ensure all associated paperwork in relation to statutory tests and inspections is collated and placed into the relevant file, system or tracker i.e Gas safe, daily plant room checks and fixed wire.
- Organise maintenance of building associated systems, ensuring the Facilities Director is informed if any further remedial works outside of contract are required.
- Lead on the BMS system on site, engaging with the Supplier around improvements and issues.
- Be the point of contact on site for registration of all contractors, ensuring RAMS are in place and suitable ahead of scheduled / planned works, issuing permits as required and inductions.
- Ensure critical safety equipment is maintained as per schedule, also manage those contracts appointed directly to the client e.g. PAT testing, LOLAR, Pressure Systems and LEV’s.
- Support and mentor the Facilities Operative, taking the lead in emergencies or in periods of absence and advise as required.
- Actively participate in the introduction and ongoing development of the company CAFM system.
- Produce monthly and annual compliance reports in relation to tasks carried out.
- Update and log completed tasks within the relevant systems or trackers, self-performed or by contractors.
- Provide Risk Assessments for works managed by the client.
- Ensure H&S compliance at all times and highlighting any concerns H&S issues immediately. Identify and deal with issues on a pro-active basis to ensure a clean, safe and tidy workplace.
- Support Facilities Director as required.
- Support science teams with lab rearrangement.
- Troubleshoot equipment issues and facilitate corrective action for research and CL3 labs (HVAC, -80 Freezers, Fume Hoods, BSCs, etc.).
- Attend callouts / urgent issues to identify issues and repair / make safe and request support as required.
- Complete designated pre-planned and reactive tasks on a daily basis, and reporting back to the Facilities Director on progress.
- Assisting the Facilities Assistant when required during busy periods/ periods of absence.
- Mentoring new employees within the facilities team when required, sharing experience and advising of best practice / solution.
Other
- Assisting the stores team, as required, when delivering (sometimes heavy) supplies across the various company buildings, ensuring they are delivered safely and on time.
- Acting as deputy / point of contact for all Facilities related task and issues in the absence of the Facilities Director.
PERSON SPECIFICATION
- Time served engineer – Electrical or Mechanical discipline.
- Confident in carrying out statutory maintenance tasks.
- Full understanding of BMS systems and operational plant rooms.
- Competent awareness of H&S issues.
- Commercially astute to engage with contractors and challenge price.
- Ability to provide reports in an array of formats.
- Ability to use a CAFM system.
Experience & knowledge
- Demonstrable knowledge and experience in meeting statutory requirements across an array of buildings.
- Effectively managed a maintenance process using both in house and external resources.
- Built effective relationships across all levels within a company including with senior internal clients and external parties, including subcontractors.
- Thorough knowledge of H&S within the workplace with a key focus on science related disciplines.
- Demonstrable experience in managing Contractors.
- Driving license.
- Worked within a laboratory environment.
- Microsoft office (Word, Excel, Outlook).
- General understanding of building systems – BMS & CAFM.
- Carried out Risk Assessments.

- NEBOSH Health & Safety training or equivalent (D).

WORK ENVIRONMENT
This job operates in a professional office & laboratory environment. This role routinely uses standard office equipment such as computers, telephones, as well as DIY tools such as drills, screwdrivers, etc. The ability to drive a van is essential.
PHYSICAL DEMANDS
This is largely a physical role; however, some desk work is required. This role would require the ability to manually handle goods frequently as well as plan your daily workload and communicate effectively throughout the team and the business.
POSITION TYPE AND EXPECTED HOURS OF WORK / TRAVEL
This is a full-time position. Days and hours of work are Monday through Thursday 0900-1730 hrs, Friday 0900-1615 hrs with unpaid lunch break of 45 minutes each day. No overnight travel is expected for this position. There may be occasional local day travel, flexibility is key as unsocial hours may be required at times.
