Operations Inbound Coordinator
As one of the fastest growing independent beauty brands, Pixi Beauty has built an incredible worldwide reputation and is quickly becoming one of the most recognized brands in the industry. Due to our continued success, we are expanding and looking for a talented Operations Inbound Coordinator to join our team.
Your Role
You are an Operations Inbound Coordinator, responsible for the short-term (up to 3 months visibility) planning and purchasing activities. This candidate must have strong communication skills and maintain a clear line of communication internally and externally, resulting in optimized customer service, plan execution and inventory targets. Your main responsibilities will be to issue purchase orders, ensure POs are on track though to delivery, communicating with vendors and ensuring accurate inventory levels in a complex contract manufacturing environment.
Responsibilities
- Recommend, issue and track purchase orders for components, filling & finished goods
- Maintain full visibility of purchase orders and track through to delivery
- Own supplier relationship; point of contact & weekly open orders calls
- Conduct monthly inventory reconciliations on components at supplier locations
- Analyze and report monthly on excess, obsolete and discontinued
- Partner with Logistics to ensure timely inbound delivery of POs via air, ocean & trucks
- Develop logistics requirements (specifications) with suppliers
- Liaise with Demand Planning and warehouse management team to ensure that stock is available to be allocated accordingly
- Initiate and drive lead-time improvement and agility projects
- Create and revise part numbers and bills of materials as necessary
- Create reports and other tools to provide visibility on all inventory locations
- Assist in price reviews and negotiations
- Assist in resolving invoice discrepancies
- Communicate and escalate risks to cross-functional teams
- Prepare clear and direct reports to Senior Management when appropriate
Qualifications
- A minimum of two years’ experience in FMCG Outbound Operations management
- Advanced excel skills
- Accuracy and attention to detail
- Excellent analysis abilities
- Strives under pressure and welcomes challenges
- Excellent communication and influencing skills
- Resilient and self-motivated
- Previous experience in the Beauty industry preferred; however, the retail sector is a must.
Hours of work: Monday-Friday 9am-6pm. Fully in office, London based.
