Paul Davis Restoration is currently looking for an Inside Reconstruction Project Coordinator at our Worcester office.

The Paul Davis Project Coordinators are the ENGINE that drives the ship. The coordinators are vital to successful project management and instrumental in ensuring compliance with any and all program requirements.
Full-Time, Monday through Friday 8-5pm.
Duties and Responsibilities:
- Phone coverage at all times
- Make initial contact for all projects regardless of discipline
- Set up project into our software called RMS
- Ensure projects are properly linked from RMS to XA and Claims Connect
- Responsible for date compliance with Customer Contacted and Inspection Scheduled
- Assist PMs with remaining compliance tasks. Coordinators should be aware of where PMs are with various projects and help to ensure compliance through the compliance tasks.
- Request updates from PMs on projects especially when approaching compliance requirements.
- Monitor ConCon Operations Report on a daily basis. Request feedback and updates from PMs for any projects that show up on report.
- Update and manage the Contractor Connection Dashboard
- Sort through all Xactware/XA/Claims Connect/Symbility emails. Distribute to the appropriate PM. Assist PM with answering questions, providing necessary feedback, making revisions, etc.
- Maintain job files. Keep accurate records of all work done on each project including work authorizations, contracts, certificates of completion and other pertinent documents.
- Coordinator will assist PMs with obtaining contracts and change orders.
- Will assist PM by being point of contact for customers. Discussions with customers need to be had up front by both the Coordinator and PM advising that Coordinator needs to be included on all correspondence. PMs spend considerable time in the field and are not always readily available.
- Assist with the scheduling of PM inspections by having access to their calendars and setting appointments.
Qualifications:
- 2+ years’ experience in general office administration/management.
- Restoration, Construction or insurance industry experience preferred.
- Knowledge of RMS-Dash system preferred.
- Knowledge of Xactanalysis and Xactimate systems a plus.
- Customer Service
- Microsoft Office suite (strong emphasis in Word & Excel) needed.
- Self-Starter and Highly Motivated.
- Ability to multitask in a fast-paced office environment.
- Strong written and verbal communication skills.
