Why we are hiring
We currently serve a diverse client base, from FTSE 100 property giant Landsec to national food service group Caterfood. We\’ve retained our largest client, Landsec, for over 15 years and we now run the digital marketing for 17 of their shopping centres including Bluewater and Gunwharf Quays. We have ambitious plans for 2025 and we need a PA to support the Director and the newly appointed Senior Leadership Team with the increasing level of admin as the company grows.
The role
We’re seeking an organised, proactive and helpful Personal Assistant to provide support to our senior team and help streamline and systemise our administrative tasks. This role requires managing the diary and workload of the Director and providing lower-level support to six other senior leadership team members. The successful applicant will play a key role in keeping the agency running smoothly by providing high-level executive support. They’ll need to be able to juggle multiple priorities, and bring a problem-solving mindset to improve office systems and workflows. We need someone who can hit the ground running – taking ownership of office management, organisational tasks, and process improvements while supporting our senior team. No two days are the same – so the successful candidate will need to be highly adaptable, confidently managing shifting priorities with professionalism and initiative. From organising work events and overseeing office management to taking meeting notes, running errands and handling financial reconciliations this role requires someone who thrives on variety. We’re looking for a self-motivated individual who can take ownership of tasks, anticipate needs, and ensure everything runs smoothly with confidence and discretion.
This role would ideally suit a career PA who thrives in a fast-paced environment, but we’re also open to candidates with strong admin skills that are eager to develop a career in digital marketing.
Responsibilities to include (but not limited to);
General Administrative Support:
- Assist the Director and Senior Leadership Team with day-to-day administrative tasks.
- Prepare and manage documents, reports, and presentations as required.
- Handle correspondence, including drafting emails and letters on behalf of the Director.
Office Management:
- Ensure the smooth running of the office by managing supplies, equipment, and other resources.
- Liaise with suppliers and service providers to maintain office facilities.
- Organise and maintain the office environment by taking on regular day-to-day tasks.
- Greet guests to the office, accept deliveries, etc.
- Handle incoming and outgoing parcels and post.
- Organisational support for staff events and parties.
Leave Management
- Manage and track annual leave / lieu / sick-time requests for staff.
- Ensure accurate recording and reporting of leave balances in our HR system and company calendar
- Assist in coordinating holiday cover and ensuring minimal disruption to business operations.
Support in HR and Finance Tasks
- Assist with HR tasks, including onboarding new employees, maintaining HR records, and serving as a point of contact for staff queries.
- Support finance functions such as freelancer invoices, managing expense payments, and facilitating company purchases, including office equipment and travel arrangements.
Diary and Email Management
- Manage the Director’s diary, scheduling meetings, appointments, and travel arrangements.
- Organise and prioritise the director’s forwarded emails, ensuring important communications are highlighted and actioned promptly. Direct inbox management will not be needed.
- Prepare agendas, take minutes, and follow up on action items from meetings.

- Experience: Previous experience in an administrative role is essential, but personal characteristics are more important than number of years of experience.
Benefits
This is a permanent full time role with a salary of £30,000 per annum. Hours are 9am to 5pm as standard.
All full time employees get 25 days paid holiday per year in addition to all bank holidays. Employees are auto-enrolled into our pension scheme. This is a hybrid role with an expectation of three days per week, ordinarily Tuesday, Wednesday and Thursday, in the office (located next to Bristol Temple Meads train station) and two days a week remote.
