Full-Time- Permanent 33.75 hours per week

Up to £35,000 Per annum

The Opportunity:

We are looking for a highly organised and tech-savvy Teams Assistant to support the Director of Operations and various departments for one of our client in London. The role will primarily involve organising and managing administrative tasks, with a strong focus on digitising documents, organising SharePoint sites, and managing meeting agendas and minute-taking. You will play a key role in ensuring the smooth operation of the organisation through digital administration and collaborative support.

Key Responsibilities

Document Digitisation:
Assist in converting physical documents to digital formats, ensuring that all files are correctly labelled, stored, and easily accessible.
SharePoint Management:
Organise and maintain SharePoint sites for different departments, ensuring all information is up-to-date and accessible to relevant teams.
Agenda Planning & Minute-Taking:
Help with the planning of meeting agendas and take clear, concise minutes during various internal meetings. (No shorthand required).
Diary Management:
Support the Director of Operations with managing their diary and scheduling internal and external meetings. Ensure the smooth running of their day-to-day calendar.
Administrative Support:
Provide general administrative support, including preparing reports, presentations, and other documents as required.
Travel & Meeting Arrangements:
Organise travel and meeting arrangements, including booking hotels, flights, and transportation as needed. Coordinate and prepare materials for meetings.
Data and Information Management:
Maintain organised records, databases, and files, ensuring confidentiality and accuracy at all times.
Cross-departmental Collaboration:
Work closely with various teams to ensure effective communication and organisation across the Company.
Support for Ad-hoc Projects:
Assist with the planning and execution of special projects and tasks, ensuring deadlines are met and deliverables are achieved.
Assist with Operational Strategies:
Contribute to the Company’s operational strategies, including supporting projects related to EDI, digital transformation, security, and sustainability.

Your Skills & Experience

High level of competency in Microsoft Office, specifically Word, Excel, Powerpoint and Teams
Proven administrative experience in an office environment
Some exposure to events organisation would be desirable
Experience with document management and organisation systems, especially digital tools like SharePoint.
Strong understanding of agenda planning and minute-taking for meetings.
Exceptional organisational skills and attention to detail.
Strong communication skills, both written and verbal.
Ability to prioritise tasks effectively and manage multiple responsibilities simultaneously.
Tech-savvy, with the ability to adapt to new software and systems.
