We are seeking a Governance Coordinator to play a fundamental role in supporting our Governance team and ensuring that we are operating to our highest level. Working in an administrative capacity, you\’ll be responsible for working with high profile internal and external stakeholders, coordinating diaries and organising meetings in a fast paced and agile environment. Ultimately, your expertise will help to underpin our governance and advisory structure, ensuring that good governance practices are embedded within the organisation.

What you’ll be doing

In this role, your key responsibilities will include but not be limited to:

  1. Scheduling regular meetings (in person and online) for Boards and Committees and other ad hoc meetings as required, ensuring that all logistical arrangements are in place.
  2. Working with the Governance Manager to obtain, collate and circulate papers for meetings and ensure that they are appropriately stored and accessible.
  3. Maintaining a record of attendance at meetings.
  4. Obtaining and storing relevant information about individual Board and Committee members and maintaining a single database of key information.
  5. Ensuring that Board and Committee member reappointments are brought forward for consideration in a timely way.
  6. Maintaining registers of external interests.
  7. Maintaining and regularly sharing a schedule of Board and Committee members and meeting dates.
  8. Updating the governance pages on the website and intranet.
  9. Preparing the weekly news digest for Board and Committee members.

Requirements

You will have some of the following skills and experience:

  1. Previous experience within administration and coordination.
  2. The ability to make independent and pragmatic judgements and decisions, responding to requests accordingly in a timely manner.
  3. Excellent written and verbal communication skills.
  4. Self-motivated, detail-oriented, with excellent time management skills and the ability to plan and prioritise effectively whilst working to multiple deadlines.
  5. An understanding and appreciation of the importance of maintaining confidentiality.
  6. Highly proficient in all MS Office applications.
  7. An ability to adapt to changing circumstances quickly and take initiative where appropriate.
