Location: (Hybrid) – a mix of East Croydon, Monument Place & WFH

Purpose of role:

To support the People Director with the organisation, prioritisation and logistical planning of their working day. Providing them with the necessary information for meetings where requested. This PA role is a vital member of the People Team, using a wide degree of autonomy and decision-making abilities to ensure the efficient and best use of the People Director’s time.

Key Accountabilities:

  1. Provide comprehensive business administrative assistance to the People Director who sits on the Executive Committee, with an emphasis on anticipating their needs, understanding their priorities and ways of working.
  2. Processing and dealing with all internal and external correspondence including inbox management and telephone calls and confidently manage correspondence according to the perceived urgency of the concern.
  3. Take a proactive approach to managing a complex diary, including the forward planning of meetings, actions and follow up. Ensure the People Director is well prepared for meetings; track actions and ad-hoc tasks to ensure priorities are met in a timely manner.
  4. Confidently make quick decisions on behalf of the Director, this includes balancing diary conflicts with personal appointments/engagements which the PA may be required to change at short notice.

Knowledge/Skills/Experience:

  1. Significant experience of working in a busy office supporting directors / senior executives.
  2. Ability to act with total discretion and can be trusted with highly confidential and/or sensitive matters.
  3. Ability to initiate and introduce changes and improvements in business support operations.
  4. Experience of coordinating, drafting and collating business and board reports (and equivalent) and ensuring they are submitted on time.
  5. Able to produce draft correspondence and presentations which reflect understanding of the issues and are consistent with the tone / style used by the Director.
