About the role:
As a Records Management Specialist, you will be responsible for overseeing the lifecycle of corporate records and data, ensuring compliance with internal and regulatory standards. You will manage retrieval, archiving, destruction, and digitisation processes, supporting teams across the business to maintain accurate and accessible records. This role requires a systematic approach, strong attention to detail, and the ability to balance multiple priorities effectively.
As a Records Manager, you will:
- Manage retrieval, refiling, destruction, and listing of records and databases.
- Index and archive boxes from offshore locations for secure storage with Iron Mountain.
- Maintain and update Iron Mountain eSearch in line with eSearch standards.
- Provide administrative support for Livelink, assisting the Applications Team as needed.
- Prepare and verify invoices for vendors including Stratum, Expro, and Corelabs.
- Process ad-hoc requests, including retrieval, destruction, and digitisation of records.
- Prepare and maintain listings for storage providers and business users.
- Conduct quality control (QC) checks on scanned documents and ensure correct refiling within Livelink.
- Facilitate the secure transfer of data for receipt and dispatch.
- Work closely with corporate teams to maintain the Records Classification and Retention Schedule (RCRS).
- Develop and implement corporate-approved RCRS frameworks.
Requirements
- Experience in document control, records management, or data archiving is desirable.
- Familiarity with records management systems such as Iron Mountain eSearch and Livelink is beneficial, though training will be provided.
- Proactive and methodical approach to tasks, ensuring accuracy and efficiency.
- Collaborative team player with excellent interpersonal and communication skills.
- Highly organised with the ability to manage multiple priorities effectively.
