Job Description

Job Role: Client Care Coordinator – Surveying Team

Location: Croydon

Hours: Monday to Friday, 35 hours per week

Salary: Up to £27,000 per annum

At Arnold & Baldwin Chartered Surveyors we are looking for a highly organized and detail-oriented Client Care Coordinator to join our team. In this role, you will provide essential administrative support to ensure the smooth operation of day-to-day activities. Responsibilities include, but are not limited to, managing incoming correspondence, booking appointments, maintaining accurate records, resolving client queries, proofreading reports, and coordinating with our surveyors to ensure the smooth operation. Excellent communication and interpersonal skills are essential. Proficiency in Google Suite and Microsoft Office is required, and experience in a fast-paced environment is a plus.

Main Responsibilities:

  • Supporting the Residential Surveying team to ensure all instructions are processed in an efficient and timely manner.
  • Preparing instruction letters.
  • Sending our Conflict-of-Interest check emails.
  • Uploading photos and floor plans in draft Valuation Reports and carrying out statutory searches.
  • Data capture of comparable for Valuation Reports.
  • Update team calendar for meetings and Tribunal deadlines.
  • Maintaining records and updating team spreadsheets including valuers, invoice numbers, fee quotes, conflicts.
  • General office duties such as ordering stationary, filling, scanning, photocopying.
  • Organising multiple surveyors' diaries and booking in survey appointments.
  • Supporting the surveyors by setting up template reports, case folders and ensuring each file is complete on the conclusion of an instruction.
  • Proofreading reports and liaising with the surveyors to ensure our clients receive the highest quality information.
  • Interacting with clients, by phone and email, to provide updates, take payments and provide prompt responses to queries and other requests.
  • Analysing and presenting data for use in management and other team meetings.
  • Assisting with providing records to the finance team to allow invoicing to take place and keep track of incoming and outgoing payments.
  • Other general administration

Person Specification:

  • Previous administrative experience gained in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • Strong organisational and time-management skills.
  • A high level of accuracy and attention to detail.
  • An ability to proactively manage workload and deal with the conflicting demands of a high-paced and high-pressure environment with clear deadlines.
  • IT literacy in Microsoft Office suite and Google Suite.
