Echo Artists is a dynamic talent agency representing Production Designers, Directors of Photography, Costume Designers, Editors and Hair and Make-Up Designers in Film, Television, Commercials and Music Videos. The role:
Echo is looking for an Agent’s Assistant to join our passionate and close-knit team. It’s a vital role supporting Agents across the business to ensure a positive Client experience and smooth running of projects. The right candidate is extremely dedicated, enjoys working with others, has excellent communication skills and unrivalled attention to detail. They’ll be proactive and a multi-tasker who can handle the pressure of a high paced and busy environment with a “can do” attitude. In return we offer training, support and exposure to the commercials, music videos, film & TV industry, as well as opportunities for learning and personal growth.
- Location: hybrid based, at our offices – De Beauvoir Block, London, N1 4EN
- Hours: 9:30 AM to 6 PM with 1 hour lunch break, however there will be occasional times where hours may be longer (e.g. for screenings or award shows).
Essential requirements:
- Previous experience in an Agent’s Assistant or Project Management role within the film industry
- Excellent organisational and project management skills
- Experience of diary management, assisting and prioritising busy workloads for others
- Innovative thinker with string problem solving skills
- Ability to manage multiple projects and priorities simultaneously
- Highly motivated with a positive attitude
- High level of accuracy and attention to detail
- Quick learner and driven to expand knowledge
- Experience in building positive internal and external relationships
- Confident in using and managing Mac OS, software applications and cloud systems such as Google Workspace, Slack, CRM and project management tools
Desirable requirements:
- Previous experience as an Assistant at a Talent Agency or in the Entertainment industry
- Passionate about Commercials, Music Videos, Film and TV productions
Responsibilities Include:
Agent Support
- Manage, sort and triage Agents’ inboxes in an efficient, timely and proactive manner
- Understand Agent’s workload and help to support in management of priorities as well as with Admin tasks
- Manage Agent’s calendar – organise meetings as necessary, ensure there are clear agendas/ objectives and any required prep is undertaken
Project Management
- Provide coordination, monitoring, and updates on projects
- Maintain effective records on projects in the system, reporting on progress and identification of blockers for Agents
- Support Agent in effective and timely communication between Producers and Clients across projects including various administration tasks (eg sending out scripts, updating on progress/ holds/ pencils etc, booking confirmations, drafting deal memos, and redlining contracts)
- Ensure awareness of all current projects and their impact on Clients
Client Management
- Maintain Client’s calendar including scheduling meetings and updating them with project dates or details.
- Processing invoices in a timely manner, tracking client hours/days worked, inputting client expenses and other basic accounting tasks, chasing payments and resolving issues.
- Liaising cross departments (film/TV, commercials, accounts dept etc) to ensure the latest Client information is shared
- Support Agents in ensuring that Client CVs, web pages and other records are up to date and accurate
- Ensure awareness of all point Client activity and proactively flag opportunities for development as they arise.
- Attending awards, events, meetings, and screenings for Clients
- Researching latest trends and looking for opportunities for new representation
Other Duties required but not limited to:
- Be the first point of call alongside other Assistants for the company, both on the phone and in person, welcoming clients, visitors and vendors to the office
- Supporting with events, travel and organisation
- Support CEO with diary management, administrative tasks and other ad hoc support requests
