Job Description

Based in fabulous offices in central London, with a fantastic team, FGS Global is a leading global strategic communication consultancy operating in the main business hubs around the world. To help us grow in London, we are recruiting for a Part-Time Receptionist to join our team from 31 March 2025. The ideal candidate will be the first point of contact for our company and will be responsible for providing exceptional customer service to our clients, visitors, and employees. The Part-Time Receptionist will support the front desk, handle a variety of administrative tasks, and ensure the smooth operation of our office.

This role will report to the Office Manager. The working days for this role will be Monday to Thursday.

Typical duties will involve:

  • Greet and welcome all visitors in a warm, courteous and professional manner.
  • Answer, screen, and forward incoming phone calls and inquiries in a friendly and prompt way, taking messages as necessary
  • Distribute and documenting incoming mail and handle outgoing mail and courier services.
  • Ensuring that all meeting room bookings / queries / changes and requests are dealt with in a prompt and courteous manner
  • Provide basic and accurate information in-person and via phone/email.
  • Liaising with IT to ensure they are aware of technical requirements for meetings in good time
  • Assisting with ad hoc administrative tasks as required, such as data entry, filing, and photocopying
  • Support other departments with various administrative tasks as needed.
  • Ensuring housekeeping and maintenance issues are logged / reported and discuss any issues with your line manager and report to Building Management
  • Collaborating with the Reception & Hospitality team and escalating any issues to the Office Manager as required and assisting with meeting or event bookings (booking, organising and confirming), including food orders
  • Monitor and order office supplies, ensuring inventory is well-stocked

Qualifications, Experience and Skills

  • Good GCSEs, and A Levels preferred
  • Excellent verbal and written communication skills.
  • 1+ year of work experience as a Receptionist, Front Office Representative, or similar role
  • Good telephone manner, able to manage switchboard and deliver accurate messages
  • Computer literate with a good working knowledge of common desktop applications (MS Word, Excel, Outlook)

The working days for this role will be Monday to Thursday. Reception cover is required for between the hours of 7:30am and 6pm. This cover is arranged by a rota. There are three shifts: early (7.30am – 4pm), middle (8.30am – 5pm), and late (9.30am – 6pm). You will need to be able to work these three shifts as required. A degree of flexibility will be required to accommodate schedule changes, according to business demand, but this will be discussed in advance with you.
