Executive Assistant to Senior Partner & CIO
Boutique Asset Management Firm & Family Office – West End
Competitive Salary
A highly regarded boutique asset management firm & family office based in the West End, is seeking an exceptional Executive Assistant to provide seamless support to the Senior Partner (Principal) and Chief Investment Officer (CIO). This permanent role offers the opportunity to join their well-established team in a fast-paced, discreet, and highly collaborative environment.
Working in close partnership with the Senior Family Office Executive (SFOE) who oversees the Secretariat team, you will jointly ensure seamless, right-hand support to the Principal in all facets of his business and personal life with absolute discretion. This role requires constant collaboration with the SFOE, open communication, and a constructive, ego-free team culture.
You will also be the principal point of contact for EA support to the CIO, managing all diary, travel, meetings and administration, although you have the broader support of the Secretariat team across all these responsibilities.
Key Responsibilities:
- Proactively manage complex diaries for the Senior Partner, CIO, CFO and selected board members
- Co-ordinate multi-leg, international travel – both business and personal
- Maintaining and organise inboxes, contact databases and confidential records through Outlook, external CRM systems and password management tools.
- Draft, review and edit correspondence on behalf of the Senior Partner
- Take live and recorded dictation, producing accurate transcripts
- Prepare documents, reports and presentations; take concise and actionable notes during fast-paced meetings
- Maintain investment records and transactions, liaising with private banking teams to execute instructions
- Support the Senior Partner’s professional, political and charitable interests
- Liaise with household staff, the Principal’s wife’s part-time PA, and service providers to coordinate personal arrangements
- Provide logistical support to the Principal’s and CIO’s school aged and adult children, including scheduling and travel planning
- Oversee domestic logistics for the CIO
- Organise and manage private events and engagements such as group theatre/concert/festival outings, restaurant bookings and shoots
Essential Requirements:
- Significant experience supporting at C-Suite level within a family office or boutique corporate environment
- Exceptional organisational skills with the ability to prioritise and manage multiple tasks under pressure
- Highly numerate with strong attention to detail
- Excellent written communication skills, with flawless grammar and spelling
- Proficient in rapid, accurate typing (80+ WPM preferred)
- IT literate across Microsoft Office Suite, CRM systems and related tools
- Proved discretion, professionalism, and ability to handle sensitive, confidential information
- Calm, confident, and solutions-focused, even in fast-moving situations.
- Collaborative and team-oriented, with a respectful, ego-free approach
Desirable:
- Knowledge of investment and financial terminology
- Experience in event planning for HNWIs
- Familiarity with political or charitable liaison work
