Job Title: Property Administrator Location: Stotfold, Nr Hitchin, Hertfordshire Salary: £24,000 to £27,000 dependant on experience Benefits : Company pension scheme. 20 days holiday plus bank holidays per annum, with additional days after 2 and 5 years\’ service. Job type: Full time permanent, office based with occasional visits to London to support the team. Qube is a successful Property Management company, we manage prime and super prime buildings in central London, complemented by our sister company Qube Lettings who let and manage apartments and houses. We provide a first class service to our clients to ensure the smooth running of their buildings. Within our prestigious company we are looking for a high-achieving professional Administrator to provide support to the Property Management team and Lettings Management team. Mainly based at the Stotfold office, there will be the necessity to travel to London on occasion. Ultimately this exciting and vital role will provide a conduit between the Qube head office, London office and site teams, ensuring effective communication between sites. Property Management And Head Office: Raising contracts for the various sites under management. To assist with raising work orders for reactive works on some sites. Mail-merges primarily for section 20 process but also for ad hoc communications to lessees. To track the process of section 20\’s and to advise PM when the next stage is due. Supporting sites with online ordering. Monitor office stationery supplies and order as necessary. Take post to post office. Track insurance claims, keep in contact with site teams for updates so that the insurance settlement can be reconciled with the accounts. Creating newsletters for sites on a regular basis Assisting MD with marketing, sending leaflets and keeping a record of when and to whom material sent. Posting company achievements to Linkedin. Monitoring generic emails and distributing accordingly.Lettings Management: To assist in uploading Landlords and tenants to MRI/Qube software Assist Lettings Manager with uploading available properties to Rightmove Onboard tenants using Rightmove portal Raise rent demands Produce landlord statements and pass funds to Landlord Diarise pertinent dates Assist Lettings Manager booking check in and check outs Assist Lettings Manager with maintenance and repairs of rented properties.Requirements: To familiarise yourself with the portfolio and to understand the type of buildings managed. To familiarise yourself with the key Client\’s and to ensure they are treated with an excellent level of customer service.Education/Qualification/Skill Experience in the property Industry, either block management, lettings or surveying. Must have an understanding of the demands set within a service sector and so have a strong customer focus. Must be well organised, well presented at all times with a good telephone manner and strong interpersonal skills. A strong drive to succeed under pressure. A good knowledge of Microsoft Office in particular Word and Excel and Powerpoint.Other Experience 2 years Previous Administrative experience Proven experience with Microsoft office. A good knowledge of Powerpoint would be an advantage. Use of the MRI Qube is useful but not essential. Willingness to work beyond core work hours if necessary, time in lieu will recompensed for this timeOther Expectations To continue reading relevant articles, industry magazines etc to broaden the knowledge of the industry and legal matters affecting the industry.
